Position: Administration Assistant
Location: Portsmouth
Hourly Rate: £16.32 p/h (Umbrella)
Start: ASAP
Hours: Monday - Friday / 9am - 5pm
Duration: 3 months (Possible Extension)
Key Responsibilities
- Handle and direct queries via email and telephone, ensuring professional communication with service users and stakeholders.
- Manage incoming and outgoing correspondence, maintaining confidentiality at all times.
- Record and upload information to case management systems accurately.
- Book appointments, schedule meetings, and provide diary management support.
- Take detailed, accurate minutes for complex and sensitive meetings, including Safeguarding Strategy meetings, within required timelines.
- Maintain organized files and documentation, ensuring accessibility and accuracy.
- Prepare documents using Word, Excel, and PowerPoint, and manage data using spreadsheets and databases.
- Administer processes related to unaccompanied minors, ensuring compliance with government regulations and in-house procedures.
- Arrange interpreters and process purchase orders and invoices as required.
- Collate statutory data and present performance metrics for service leaders.
- Support preparation for Ofsted inspections and provide specialist administrative assistance during inspections.
Person Specification
To succeed in this role, you should have:
- Proven experience in an administrative role, ideally within Children’s or Young People’s Services.
- Strong minute-taking skills, particularly for sensitive and complex meetings.
- Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint, and Outlook).
- Excellent literacy and numeracy skills.
- A customer-focused approach with consistently high standards of care and service.
- Willingness to support service managers and practitioners in delivering effective services to children and families.
- Strong organizational skills with the ability to prioritize workloads and manage diaries.
- Attention to detail and accuracy in all tasks.
- Flexibility to adapt to the team's needs and service requirements.
- Awareness of Data Protection and Safeguarding practices.
- Resilience and professionalism when dealing with emotionally challenging content, such as child maltreatment or abuse cases.
- The ability to respond appropriately to anxious or emotional inquiries from parents, carers, or service users.
Location Details
The post is based at the Civic Offices, Guildhall Square, Portsmouth. Initially, the role is office-based to support training and familiarization with processes. Hybrid working will be available once the candidate demonstrates competency.
