About the opportunity
Spire Recruitment has partnered with a respected commercial agency in Melbourne’s South East, known for its long-standing reputation, collaborative culture and strong market share across industrial sales, leasing and property management.

In this newly created role as Sales & Leasing Administration Assistant, you’ll become the right hand to a busy Managing Director – keeping campaigns organised, marketing on track and documentation accurate, so the team can focus on deals and relationships. This would perfectly suit a residential Property Manager or Assistant PM who loves the process, detail and client contact, but wants to step into commercial and grow their skills.

What you’ll be doing

• Supporting day-to-day sales and leasing activity for a leading commercial agent
• Preparing and drafting authorities, leases and custom advertising schedules
• Setting up and maintaining listings on portals, including upgrades and edits as required
• Coordinating marketing campaigns – briefing suppliers, triggering artwork, tracking timelines and proofing all materials
• Marking up aerials and inserting comparable sales/leases into marketing submissions and IMs
• Diarising and managing campaign milestones, inspections and key dates
• Collating case studies and success stories for future marketing
• Attending auctions for filming and assisting with marketing content where required
• General administrative support to keep priorities, projects and communication running smoothly

What we’re looking for
This role will suit someone who enjoys structure, detail and being “mission control” for a busy sales leader. Ideally you will bring:

• Experience in real estate – residential Property Management, sales admin or similar
• Strong administration skills with high attention to detail and follow-through
• Confident written and verbal communication, with a professional phone manner
• Ability to juggle multiple campaigns, deadlines and requests calmly
• A proactive, team-focused mindset – you like taking ownership and making things easier for those around you
• Willingness to learn the commercial / industrial side and build your knowledge over time
