The Impact You Will Have
As the Accounting Coordinator, you will play a critical role in supporting the clinic’s daily financial operations while serving as a compassionate and professional point of contact for patients navigating fertility treatments.
This role is ideal for someone who thrives in a fast-paced healthcare environment, enjoys balancing accounting responsibilities with patient interaction, and takes pride in delivering highly accurate financial administration. You will help ensure seamless billing, collections, reporting, and accounting coordination across multiple physicians and clinic services while supporting an exceptional patient experience.
What You Will Do
- Manage full-cycle Accounts Receivable, including patient invoicing, payment processing, collections, bank deposits, and reconciliation activities
- Coordinate Accounts Payable functions, including vendor payments, EFTs, wire transfers, cheque processing, and bill entry into QuickBooks Online
- Support complex OHIP billing activities for multiple physicians, including claim creation, remittance processing, reconciliation, and billing corrections
- Reconcile multiple bank accounts, credit cards, physician billings, and clinic-related transactions
- Monitor and maintain inventory levels for clinic medications and supplies
- Assist with Transfer Payment Agreement (TPA) reporting and additional government-related financial reporting requirements
- Maintain petty cash balances and support daily financial tracking activities
- Coordinate with clinical and administrative teams regarding patient payments, scheduling, and billing inquiries
- Order office and clinic supplies as required
- Support year-end accounting activities and provide additional administrative/accounting support as needed
- Deliver empathetic, patient-focused service while always maintaining professionalism and confidentiality
What You Will Bring - Previous experience in an Accounting Coordinator, medical billing, bookkeeping, or healthcare accounting position
- Strong hands-on experience using QuickBooks Online (required)
- Experience with OHIP billing, medical billing codes, or healthcare billing processes is strongly preferred
- Experience with electronic medical record systems such as TELUS PS Suites is considered a strong asset
- Comfortable working directly with patients in a professional, compassionate, and service-oriented environment
- Strong reconciliation, accounts payable, and accounts receivable experience
- Excellent attention to detail with strong organizational and multitasking abilities
- Ability to work effectively in a fast-paced clinical environment with competing priorities
- Strong communication and interpersonal skills
- Proficiency with Microsoft Office applications including Outlook, Word, Excel, and PowerPoint
- Previous experience within a fertility clinic, medical clinic, optometry clinic, naturopathic clinic, or other private healthcare setting is considered an asset

- Located on-site in Toronto, Ontario
- Monday to Friday schedule, 7:00 AM – 3:00 PM
- 37 ½ -hour work week
- Additional hours above 37 ½ hours are provided as banked time

HIRING RANGE The anticipated hiring range for this role is an
annual salary of $60,000 - $62,000, plus annual bonus eligibility, comprehensive employer-paid benefits, paid underground parking, subsidized fitness membership, and additional employee wellness perks.
