The Impact You Will Have
This is a pivotal role responsible for owning and elevating the payroll function within a growing and evolving organization. You will bring expertise, structure, and accountability to payroll operations, ensuring accuracy, compliance, and continuous improvement.
Operating as a senior specialist, you will work with a high degree of autonomy while partnering closely with the Head of Operations and Head of Total Rewards to support business priorities. This role goes beyond execution, requiring a proactive, solutions-oriented mindset to identify risks, strengthen controls, and enhance processes across payroll and benefits administration.
What You Will Do
Payroll Ownership & Execution
- Own full-cycle Canadian payroll for ~400+ employees (bi-weekly cycles), ensuring accuracy, compliance, and timely delivery
- Manage complex payroll components including commissions, incentive payments, expense reimbursements, and taxable benefits
- Ensure data integrity through validation, reconciliation, and issue resolution; proactively identify and mitigate risk
- Prepare payroll-related journal entries and manage all remittances, including third-party payments (e.g., garnishments)
- Lead year-end payroll activities (T4s, Relevé-1s, T2200s, and government filings)
- Act as the primary point of contact for payroll audits, providing documentation and insights to external auditors
- Process off-cycle payroll activities including hires, terminations, and adjustments
- Administer leaves of absence (STD, maternity/parental), including manual calculations and system updates
- Manage annual bonus processing, including GRSP elections and related calculations
Benefits Administration - Own the end-to-end administration of employee benefits, including enrollments, changes, and system updates
- Ensure accurate integration and data transfer to external providers (e.g., Manulife – GB and GRSP)
- Conduct regular audits of benefit eligibility and enrollment data
- Investigate and resolve complex payroll and benefits inquiries, partnering with external vendors as needed
- Ensure accurate processing of benefit deductions and taxable benefits
Partnership, Governance & Continuous Improvement - Partner closely with the Head of Operations and Head of Total Rewards to align payroll practices with business priorities
- Act as a subject matter expert on payroll legislation, compliance, and best practices
- Identify process gaps and inefficiencies; recommend and implement improvements
- Support payroll-related projects, system enhancements, and process optimization initiatives
- Strengthen payroll controls and governance, ensuring compliance with federal and provincial legislation
What You Will Bring - 5+ years of progressive experience in Canadian payroll (senior specialist or program ownership level)
- PCP designation required
- Proven experience managing full-cycle payroll independently in a complex environment
- Hands-on experience with Workday required, Dayforce or comparable HRIS/payroll systems
- Strong knowledge of Canadian payroll legislation, compliance, and statutory requirements
- Experience with payroll controls, audits, and interactions with tax authorities
- Advanced Excel skills and strong data/reporting capabilities
- Experience supporting benefits administration is considered a strong asset
- Systems mindset with understanding of integrations, data flows, and process optimization
- High level of ownership, accountability, and attention to detail
- Proactive, solutions-oriented mindset with the confidence to challenge and improve processes
- Strong communication skills and ability to partner cross-functionally

HIRING RANGE The anticipated hiring range for this role is an annual salary of $100,000 - $110,000.
