Overview of the Operations Specialist

The Operations Specialist ensures efficient company operations by supporting daily activities across departments. This role focuses on operational systems, technology, reporting, and internal communications, while ensuring team members and clients have the tools and resources they need. Success requires delivering strong internal support and customer service, demonstrating excellent organizational and technical skills, and thriving in a fast-paced, evolving environment with accountability, adaptability, and clear communication.

Key Responsibilities of the Operations Specialist

• Manage and optimize HubSpot CRM and other operational systems, ensuring data accuracy, reporting, and user support
• Serve as the primary point of contact for technology requests, including system updates and basic troubleshooting
• Set up and manage employee and client access across technology platforms, including onboarding and offboarding
• Support proprietary software used for franchise operations and recruitment, including updates and improvements
• Assist with client onboarding, transitions, and documentation in partnership with the Operations Manager
• Create internal reports, track KPIs, and support data-driven decision-making
• Identify, recommend, and implement operational process improvements
• Maintain project management boards, documentation, and communicate updates to stakeholders
• Collaborate cross-functionally with marketing, sales, and other teams to align systems and tools
• Provide ongoing technical support, training, and one-on-one assistance to team members and partners
• Support special projects and company events as needed

Requirements of the Operations Specialist

• Degree from a 2- or 4-year institution or equivalent experience preferred
• Proven experience in operations, project management, or a related role
• Advanced proficiency in HubSpot CRM, including workflows, pipelines, automations, data imports/exports, etc.
• Strong understanding of cross-platform workflow optimization
• Excellent organizational and multitasking skills
• Strong understanding of business performance metrics
• Ability to manage multiple projects simultaneously under tight deadlines
• Highly detail-oriented with strong documentation and process-mapping abilities
• Self-starter with a collaborative, team-oriented mindset
• Strong communication and interpersonal skills
• Problem-solving mindset focused on continuous improvement

Compensation and Schedule of the Operations Specialist

• $26 - $28/hr., DOE. Bonus Potential!
• M - F, 8:00 AM to 5: 00 PM
• Hybrid Schedule
• Full benefits, PTO and Retirement Offered
