What’s the opportunity
Reporting to the Chief Operating Officer (COO), you won’t just be sitting at a front desk; you will be the operational backbone of the office and a key facilitator for the executive leadership and project teams. As the Office Coordinator & Executive Support, your focus will be on maintaining a seamless, organized, and welcoming workplace while delivering high-impact administrative support.
This role sits at the heart of a driven team operating in the high-speed technical engineering and specialized construction sector. Based full-time in their Macquarie Park office (8:30 AM – 5:00 PM, Monday to Friday), it is a hands-on, highly varied position where no two days are quite the same. Whether you are coordinating office logistics, assisting with critical commercial tender submissions, or ensuring their workplace and meeting facilities are immaculate and well-stocked, your initiative and care will directly enable our operational success.
What you’ll do
You will focus on coordinating day-to-day office operations, maintaining workplace presentation and cleanliness, and providing responsive varied support to executive leaders, project staff, and visiting guests.
- Workplace Presentation & Hospitality: Take genuine pride in keeping the workplace fresh, orderly, and inviting. Maintain daily kitchen and breakroom presentation (including dishwasher cycles, coffee amenities, and counter cleanliness), perform local grocery/milk supply runs, and set up boardrooms and catering for client meetings.
- Office & Facilities Coordination: Act as the primary manager for the office operations. Greet visitors and contractors, coordinate cleaners and building maintenance providers, manage office stationery/supplies, process Purchase Orders and invoices, and maintain WHS checks (first aid kits, spill kits, and emergency lists).
- Executive & Tender Support: Provide administrative assistance to the senior leadership. Assist with complex document formatting, editing, and compiling for major commercial tender packs under deadline, coordinate domestic and international travel itineraries, and manage executive calendars.
- IT & Equipment Liaison: Serve as the local first point of contact for office IT setup. Coordinate laptop and mobile device setups for new starters, maintain the hardware asset register, manage HID building access passes, and log service desk requests with our corporate IT team.
- The "Go-To" Problem Solver: Serve as the helpful, dependable anchor for the Sydney team, solving daily workplace queries, helping out wherever needed, and ensuring office systems run smoothly and efficiently.
What you’ll bring to the role The ideal candidate is a reliable, proactive, and level-headed professional who takes immense pride in creating an organized, comfortable, and efficient work environment. You bring a warm, grounded, and welcoming personality, combined with the resilience and adaptability needed to thrive in a fast-paced, direct industry.
- Relevant Experience: 1–3 years of proven experience in office coordination, reception, administration, or executive support. Previous exposure to the construction, engineering, property sectors is highly regarded (but not essential).
- Formatting & Admin Precision: High attention to detail with strong Microsoft Word and Excel skills, particularly in formatting complex documents and presentations.
- Pragmatic Workplace Ownership: A practical, roll-up-your-sleeves attitude toward workplace care. You view clean, well-maintained facilities, organized supplies, and warm hospitality as essential elements of professional excellence.
- Tech & System Savvy: Tech-comfortable with standard Microsoft Office applications (Word, Excel, Outlook) and confident navigating asset registers, building access systems, or basic IT hardware setups.
- Communication & Adaptability: Outstanding verbal and written communication skills with a friendly, professional manner. You are comfortable liaising autonomously with executives, site engineers, and external contractors.
