Key responsibilities:
✅ Executive & Administrative Support – Provide high-level support to the CEO, Deputy CEO, and senior leaders, including travel management, expense reconciliation, and contract filing.
✅ Document & Meeting Preparation – Review and proof documents, compile high-quality meeting packs, and draft accurate meeting minutes while tracking decisions and actions.
✅ Board & HR Support – Assist with board activities, HR processes, onboarding/offboarding, and Health & Safety functions.
✅ Office & Facilities Management – Oversee office affairs, track equipment and access cards, coordinate supplies and catering, and communicate office updates.
✅ Event & Meeting Coordination – Organise leadership, board, and all-staff meetings (virtual & in-person), handling scheduling, logistics, and presentation preparation.
✅Process Improvement & Special Projects – Maintain Microsoft SharePoint/Teams content, identify efficiency opportunities, and support ad hoc projects as needed.
What you'll bring:
✅ Experience working directly with Boards & Executive Committees—coordinating meetings, preparing relevant information, etc.
✅ Exceptional attention to detail and the ability to juggle multiple priorities under tight deadlines.
✅ Strong time management skills—you're protective of your schedule and know how to prioritise effectively.
✅ A positive mindset and a proactive approach to problem-solving.
✅ Calendar and travel management expertise, ensuring seamless coordination.
✅ Outstanding verbal and written communication skills to engage with stakeholders at all levels.
✅ A knack for quickly learning new systems and leading system rollouts.
✅ Comfort working in ambiguity—thriving in chaos and always finding opportunities to improve efficiencies.
✅ Proficiency in Microsoft Suite and SharePoint.
