About this Opportunity We are looking for a Project Administrator to join our Project & Operations – Project Logistics team.
Reporting to Project Personnel Logistics Manager, you will support project logistics, personnel coordination and administrative operations including offshore planning schedules. The role involves working closely with Project Managers and Singapore based administration team, assisting with procurement tasks and helping ensuring project deadlines and logistic schedules are met.
This full-time permanent position is based in our Perth CBD headquarters near the beautiful Elizabeth Quay.
Key Responsibilities As a Project Administrator some of your responsibilities will include:
- Responsibility for project personnel and logistics for subsea projects in Australia and worldwide
- Identify crewing requirements for projects and support project managers with personnel scheduling to ensure all projects are correctly manned.
- Ensure all subsea personnel have the appropriate training and competencies; maintain an up-to-date database of certification and profiles; book appropriate training as required for personnel.
- Manage global visa and work permit requirements
- Conduct employee on-boarding and issue approved contracts of employment.
- Plan travel and maintain a strong knowledge of organising complex travel itineraries
- Develop travel guidelines for crew as required.
- Assist Project teams with other tasks and duties as required, such as raising purchase orders and invoicing correspondence.
Qualifications and Experience - Degree or Certificate III in Business Administration or similar.
- 3-5 years’ experience in a Project Administration role preferably in oil and gas.
- Proven experience in a busy project environment, dealing with conflicting priorities and deadlines
- Understanding of procurement processes
- Intermediate to advanced skill level in MS Office
- Ability to work in a team including supporting others during peak periods in other areas of the business
- Must be adaptable to changing situations, deadlines and tasks
- Ability to work with clients (office, offshore, onshore and site)
- Maintain a meticulous attention to detail and accuracy
- Knowledge of survey personnel and/or operations is highly desirable.
- Experience in oil & gas industry is preferred.
- Desirable experience using an ERP (eg: IFS, SAP, Pronto)
- Knowledge of personnel certification requirements for offshore Construction, Survey, ROV and client specific requirements.
- Knowledge of rostering / personnel scheduling software (such as ProPeople)
