We are looking for a Customer Service & Orders Coordinator to join our regional hospitality team in Toowoomba.
Key Responsibilities:
Organized & Process-Oriented: Enjoys working with clear checklists and staying on top of tasks. Confident using digital systems such as Gmail, Google Chrome, Google Drive, and FlexCatering (training provided). Follows and improves standard operating procedures.
Great Communicator: Comfortable making and receiving calls with a warm, professional tone. Writes clear, friendly emails and follows up on missed information. Can gently upsell products during calls.
Warm & Personable: Greets customers and team members with a smile. Excellent at building rapport and adding a personal touch, such as remembering customer birthdays and regular orders.
Attention to Detail: Notices odd delivery addresses, unrealistic order volumes, or missing dietary information. Labels and files emails correctly, sets Gmail tasks proactively, and ensures no order slips through. Understands confidentiality and discretion.
Locally Aware: Familiar with Toowoomba and surrounding areas. Can identify if a delivery address seems off and is aware of local events that may impact catering. Comfortable using Google Maps to check venues.
Customer Service with Sales Savvy: Naturally offers suggestions to enhance customer orders. Follows up on abandoned carts and "Contact Us" forms with empathy and professionalism. Thinks ahead to suggest helpful extras and avoid last-minute panics. Passionate about sealing the deal!
Independent but Team-Oriented: Works confidently without micromanagement. Collaborates well with chefs, the kitchen team, and directors. Proactive in updating processes where needed.
Bonus Qualifications & Certificates (Not Required, but Valued):
TAFE Hospitality Certificates such as:
Certificate III in Hospitality
Responsible Service of Alcohol (RSA)
Responsible Management of Licensed Venues (RMLV)
Barista Certification / Food Safety & Hygiene
Experience in:
Hospitality, events, or catering coordination
Admin or reception-style work (bookings, phones, customer service)
Local food businesses or community organizations
