About the Opportunity
Our client is a well-established Australian importer and distributor of premium commercial kitchen and catering equipment, representing leading international brands across the food service industry.

Due to continued growth and the relocation to a modern, purpose-built Port Melbourne office, they are seeking an experienced Spare Parts Officer to join their Technical Services team.

This is a great opportunity for someone with a strong background in customer service, spare parts, technical sales or equipment-related administration who enjoys dealing with customers and solving problems.

The Role
As Spare Parts Officer, you will be responsible for providing professional and responsive service to customers, dealers and internal stakeholders while ensuring spare parts orders and enquiries are processed accurately and efficiently.

Your responsibilities will include:

• Responding to customer enquiries by phone and email
• Providing advice and information on spare parts, availability and pricing
• Processing spare parts orders, quotations and enquiries
• Following up customer orders and back-orders
• Liaising with purchasing, warehouse, service, logistics and accounts teams
• Managing customer complaints and resolving issues professionally
• Monitoring non-stock and special-order parts
• Processing invoices, credits and stock returns
• Maintaining accurate customer and system records
• Ensuring orders are processed within required timeframes
• Assisting with continuous improvement of spare parts sales and processes

About You
You will be a confident customer service professional who enjoys working in a busy environment and has the ability to understand customer requirements and provide practical solutions.
Ideally, you will have:

• 3+ years' experience in technical customer service, spare parts or sales
• Strong customer service and communication skills
• Excellent attention to detail and follow-up
• Experience managing multiple priorities
• Strong stakeholder management skills
• The ability to understand and communicate technical information
• Good computer skills, including Microsoft Outlook and Teams
• Experience with CRM/ERP systems; Salesforce and/or Microsoft Dynamics GP would be advantageous
• Basic to intermediate Excel skills
• A positive, team-focused approach
