We're looking for an organised and detail-oriented Project Administrator to join Fleetwood Building Solutions in Queensland and play a key role in supporting the successful delivery of education, government, social infrastructure and modular construction projects across the state.
This role is responsible for providing effective administrative and project support to our Operations team, ensuring project documentation, reporting, compliance requirements and stakeholder communications are managed accurately and efficiently throughout the project lifecycle.
Working closely with Project Managers, Contract Administrators, Site Teams, Sales and other internal stakeholders, you'll help keep projects running smoothly from commencement through to handover and completion. Key Responsibilities
- Maintain project documentation, records and registers, ensuring information is accurate, complete and up to date.
- Produce regular and ad hoc project reports for internal stakeholders and clients.
- Coordinate and monitor project compliance documentation, including building certification and handover requirements.
- Compile, manage and archive project safety, quality and contract documentation.
- Liaise with project stakeholders, subcontractors and internal teams to support project delivery.
- Generate, track, process and follow up project-related documentation and correspondence.
- Maintain project registers including defects, maintenance and compliance records.
- Prepare meeting agendas, attend meetings, record minutes and distribute actions in a timely manner.
- Coordinate travel bookings and logistics in line with project requirements.
- Support continuous improvement initiatives by assisting with the development and enhancement of administrative systems and processes.
About You - Previous experience in project administration or a similar support role, preferably within construction or project-based environments.
- Strong organisational and time management skills with the ability to manage multiple priorities and deadlines.
- Experience managing document control systems, project records and administrative processes.
- Understanding of building certification processes, project compliance requirements and project handover documentation is highly regarded.
- High level attention to detail and commitment to maintaining accurate records.
- Strong written and verbal communication skills with the ability to build positive stakeholder relationships.
- Intermediate to advanced skills across Microsoft Office, including Word, Outlook and Excel.
- Customer-focused mindset with a proactive and solutions-oriented approach.
- Ability to work both independently and collaboratively within a team environment.
