He kōrero whakamārama mō tēnei tūranga | About the role
This role is the connective tissue of the Operational Improvement Programme: maintaining the operating cadence, keeping information accurate and decision-ready, and helping ensure our people across the motu can see, understand and trust the work underway. You will work across operations, care coordination, clinical teams, Data Analytics, IT, People & Culture and Communications, and with external partners where needed.
He aha āu mahi | What you'll do
- Maintain the master initiative tracker, Risks, Assumptions, Issues, and Dependencies (RAID) log, and benefits tracker as the single source of truth for the programme.
- Run the programme rhythm (weekly stand-up, monthly Senior Leadership Team review and quarterly board update) including agendas, minutes, actions and decision close-out.
- Coordinate cross-theme dependencies and prompt action where initiatives are blocked, slipping or at risk.
- Support clear, evidence-led reporting and decision papers, drawing on inputs from theme owners and the Data Analytics team.
- Support the internal communications programme by drafting regular wins updates, coordinating briefing material and closing the loop on feedback from coordinators and frontline teams.
- Own programme document control and templates so submissions across themes are consistent, accurate and readable.
Mōhou Ake | About You - 2-5 years' experience in a PMO, project coordination, business analysis or operations support role, ideally across multiple workstreams.
- Proven ability to run programme cadence (trackers, issues and actions logs, governance meetings, status reporting) with senior stakeholders.
- Strong written and verbal communication skills, including drafting briefs and decision-ready updates.
- High discretion and resilience when handling confidential financial, workforce and incident information.
- Strong Microsoft Office skills (especially Excel and PowerPoint) and familiarity with Power BI (or similar) to access, view, and use the dashboards as an end user (not to build or develop them).
- Ability to influence without formal authority, build trusted relationships and keep delivery moving.
- Formal project methodology exposure (PRINCE2 Foundation, AgilePM, PMP or equivalent) is desirable.
- An understanding of, or commitment to learning about, Te Tiriti o Waitangi and applying culturally responsive practice in everyday mahi
