About the role We are seeking a motivated and detail-oriented Administration Assistant to join our growing Financial Services team.
This role plays a vital part in supporting our Advisers and Financial Services team, ensuring administrative and compliance processes are completed accurately and efficiently while delivering exceptional service to our clients.
Reporting to the Group Managers and Directors, your responsibilities will include:
- Assisting with the completion of client application forms and ensuring all documentation is accurately prepared and filed;
- Maintaining client records, correspondence, identification documents and compliance documentation within the firm's systems;
- Liaising with external stakeholders including fund managers, stockbrokers and government bodies;
- Managing scanning, filing and data entry requirements to support compliance obligations;
- Assisting with client data collection forms, file notes, client correspondence and database maintenance;
- Preparing client reports, invoices and associated documentation;
- Managing incoming client enquiries and telephone calls in a professional manner;
- Supporting the wider Financial Services team with administrative projects and ad hoc tasks as required; and
- Building positive relationships with clients while delivering a high standard of service.
This is a full-time, in-office position based in our Sydney CBD office, with the opportunity to access flexible working arrangements in line with our flexible working policy.
About you To be successful in this role, you will have:
- A minimum of 1 year's administration or clerical experience, ideally within a professional services environment;
- Strong computer skills and confidence learning new systems and technologies;
- Experience using Microsoft Office Suite;
- Excellent attention to detail and organisational skills;
- The ability to manage multiple tasks and meet deadlines in a fast-paced environment; and
- Strong written and verbal communication skills.
Highly regarded but not essential:
- Exposure to financial services, accounting, wealth management or professional services environments;
- Experience using business software such as Xplan, MYOB, Xero, APS or CCH.
