Our Melbourne Workplace Relations & Safety team undertakes interesting and varied work with international, national and ASX-listed clients across a range of industries including health and aged care, professional services, property and construction, financial services, hospitality, retail, technology and government sectors.
About the Role
Our Melbourne office is currently seeking an experienced Legal Assistant to provide administrative support to the team.
The role offers the opportunity to support a number of lawyers including Partners, Senior Associates and lawyers. In addition, you will be working alongside the teams existing legal assistants.
Your daily responsibilities will include:
- Drafting routine correspondence and documentation including the use of precedents, style guides and firm standards
- Managing emails, diaries and voicemails for the team
- File and team organisation
- E-lodgement of documents
- Production of Powerpoint presentations and assisting in the organisation of seminars and events
- Preparation of bills and dealing with billing queries from clients
- Assisting with processing of expenses claims
- Opening and closing files (including archiving)
- Collating briefs to counsel, including ‘e-briefs’;
- Electronic Court filing;
- Monthly billing and entering time (Expert); and
- General administration.

We are seeking someone on a full time basis with the expectation being, given the nature of the role, that you will be office based.
About You We are seeking an experienced and motived legal assistant who is interested in building a career with Holding Redlich, particularly within our Workplace Relations & Safety team. The successful candidate will work alongside a team of lawyers, including senior practitioners.
Your day to day responsibilities will include the following and as such you will have experience in:
Duties
- Manage billing process in accordance with firm timetable including clients with specific and more complex billing, reporting and administration requirements
- Dealing with and reporting on client trust accounts (desirable)
- File maintenance - electronic and paper (Work10/iManage)
- Diary management (internal and external)
- Digital dictation as required
- Assisting with event preparation and the team’s business development needs (desirable)
Document production
- Assisting in the preparation of correspondence and complex legal documents (where appropriate through use of our firm precedents) whilst ensuring these documents conform with our firm style guide
- Arranging transmission of large files
- Editing documents using track changes and managing version control
- Collating briefs to counsel
- Collating affidavits and exhibits (electronically)
- Other general administration tasks as required
Systems
- Microsoft suite (Outlook, Word, Excel, Powerpoint)
- Document Management System (Work10/iManage)
- Time recording/Billing (Aderant/Expert)
- CompareDocs
- E-brief
- Reporting for clients as required
To be successful, you will be a self-starter, demonstrate exceptional communication skills and drive, team player, have outstanding attention to detail and proficient word processing skills and the ability to anticipate team requirements to reduce administrative time. In addition, you will be able to manage multiple priorities and enjoy a busy and collaborative work environment.
