About the role
As the Executive Assistant to the Chairperson of the Board, you'll be a vital part of our national Corporate Services team. This role goes beyond traditional support — you'll provide high-level strategic and operational assistance to the Chair and Board of Directors. Your days will be fast paced and dynamic, with no two days ever being the same.
Some of your key responsibilities will include:
- Management of the Chairperson’s calendar, meetings and travel arrangements.
- Organisation and preparation of documents, reports, meeting agendas and minutes, formal correspondence and other necessary materials.
- Support company secretary tasks
- Serve as the central liaison between the Board, management and internal/external stakeholders.
- Maintenance of records and filings that comply with legal and regulatory requirements.
- Coordination of logistics for Board events and special projects.
- Assisting in identifying and managing risks in communications with the Board.
- Monitoring project budgets, expenditures and systems related to technical projects taken on by the Chairperson.
About you - 5 years + demonstrated experience in an Executive Assistant role with a private company
- You will have worked in a previous Executive Assistant role supporting senior executives or Board members
- High level of professionalism, reliability and discretion.
- Understanding of company secretary duties
- Strong verbal and written communication skills.
- Strong organisational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to anticipate needs and proactively address issues.
- Ability to travel interstate with the Board as required.
This role is based in our Notting Hill head office in Victoria.
