About the Opportunity We are currently expanding our NDIS Virtual Assistant Talent Pool in preparation for multiple client opportunities and vacancies expected across October and November.
We are looking for experienced professionals with backgrounds in the NDIS, disability services, healthcare, community care, aged care, allied health, or Australian support services sectors.

Potential Responsibilities Responsibilities will vary depending on the client and opportunity and may include:
NDIS Administration & Participant Services
- Maintain accurate participant profiles, records, service information, and documentation.
- Assist with participant onboarding, intake, referrals, and new service enquiries.
- Prepare and maintain service agreements, consent forms, and other participant documentation.
- Coordinate appointments, meetings, assessments, and follow-ups.
- Maintain case notes, communication records, and electronic participant files.
- Respond professionally to enquiries from participants, families, support workers, plan managers, and other stakeholders.
- Assist with general day-to-day NDIS administrative and operational requirements.
Rostering & Workforce Coordination
- Create, maintain, and update participant and support worker rosters.
- Allocate shifts based on participant requirements, worker availability, qualifications, location, and preferences.
- Manage shift changes, cancellations, replacements, and open shifts.
- Contact support workers regarding availability and roster updates.
- Monitor attendance, timesheets, clock-ins, and completed shifts.
- Maintain support worker availability and leave records.
- Identify and resolve scheduling conflicts and coverage gaps.
- Communicate roster changes to relevant stakeholders.
Compliance & Documentation
- Maintain participant and support worker compliance records.
- Monitor expiry dates for mandatory worker documents and certifications.
- Follow up outstanding or expiring documentation.
- Maintain records relating to worker screening, police checks, First Aid/CPR, Working With Children Checks where applicable, licences, qualifications, and training.
- Maintain service agreements, consent forms, care documentation, incident records, complaints, and other compliance information.
- Assist with audit preparation and maintenance of organised compliance records.
- Ensure confidential and sensitive information is handled appropriately.
NDIS Billing, Claims & Finance Administration Depending on the opportunity, responsibilities may include:
- Prepare and review invoices for NDIS-funded services.
- Check completed shifts and services against billing information.
- Assist with NDIS claims and payment processing.
- Monitor rejected, outstanding, or incorrect claims and assist with resolution.
- Reconcile timesheets, service records, invoices, and payments.
- Assist with participant funding and budget utilisation tracking.
- Liaise with participants, plan managers, support coordinators, and internal teams regarding billing enquiries.
- Assist with payroll or timesheet administration where required.
Support Coordination & Intake Administration
- Provide administrative support to Support Coordinators and operational teams.
- Maintain participant case files and progress notes.
- Coordinate participant appointments and stakeholder meetings.
- Assist with referrals and provider enquiries.
- Follow up participants, providers, and other stakeholders.
- Gather supporting documentation and service information.
- Track outstanding actions and follow-ups.
- Assist with participant intake, onboarding, and referral processes.
General Administration
- Manage emails, calendars, appointments, and correspondence.
- Perform data entry and database management.
- Prepare spreadsheets, reports, forms, and documentation.
- Maintain organised electronic filing systems.
- Coordinate meetings and follow-up actions.
- Assist with recruitment, onboarding, HR, or operations administration where required.
Systems & Software Experience Experience with
one or more NDIS, care management, rostering, CRM, accounting, or administrative systems is highly regarded.

Preferred Experience & Skills
- Previous experience supporting an Australian NDIS provider, disability services organisation, healthcare provider, aged care provider, allied health practice, or similar Australian organisation is highly regarded.
- Familiarity with NDIS terminology, participant services, service agreements, rostering, compliance, funding, or provider operations.
- Strong written and verbal English communication skills.
- Excellent organisational and time-management skills.
- Strong attention to detail and commitment to maintaining accurate records.
- Ability to communicate professionally and empathetically with participants, families, support workers, and stakeholders.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong computer literacy and ability to quickly learn new software.
- Ability to work independently and collaboratively in a remote environment.
- Strong understanding of confidentiality and appropriate handling of sensitive information.
- Reliable internet connection and suitable work-from-home setup.
- Availability to work Australian business hours depending on the client requirement.
