Administrative Assistant supporting Finance/CFO with calendar, travel, expenses, documents, meetings, and confidential admin tasks.
The Administrative Assistant will be focused on managing and maintaining all administrative processes
and tasks for Finance team. This position is also responsible for administrative support, provided to the
CFO. The successful candidate will be able to work effectively in a fast-paced environment, handle
confidential matters with diplomacy and discretion, is highly motivated, reliable, and will demonstrate
the ability to take initiative and meet time-sensitive deadlines.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but not limited to:
- Manage sensitive information in a confidential manner, using discretion and judgement
in administering and handling projects involving financial, competitive, and other
critical and sensitive information.
- Support CFO
o Processing expense reports
o Creating PowerPoint presentations
o Design and create a filing system for documents
o Prepare communications where necessary on behalf of CFO (announcements,
events, procedural changes, etc.)
o Heavy calendar management
o Arrange travel for CFO and directors (airfare, hotel, and car rental)
o Provide logistic support
o Provide support by formatting, streamlining of documents
o Assist with other projects as requested by the CFO
- Attend and prepare minutes for meetings.
- Other duties as approved by the Executive Administrator.
REQUIREMENTS:
- High school diploma or equivalent required.
- Associates degree in related field preferred.
- Strong Microsoft Office Suite skills
- Three to five years of experience in an administrative role.
- Data entry experience
SKILLS and/or ABILITIES:
- Ability to work well under pressure and set priorities.
- Adapt in Technology: data entry, manage team calendars, create reports.
- Verbal & Written Communication: Handle incoming correspondence and professional phone
etiquette.
- Organization: organize schedule, events, files in a system that makes sense to everyone.
- Time management: properly allocate and plan time to meet all deadlines timely.
- Strategic Planning: able to anticipate, plan and prioritize the administrative needs of the
Flight OPS.
- Resourcefulness: be able to multi-task and provide creative solutions to ease process and
systems in the signature
