Job Title: Front Desk Coordinator
Location: Miami, FL (on-site)
Schedule: Monday through Friday, 8:30 AM - 5:30 PM
Compensation: Starting at $20+ DOE
Front Desk Coordinator We are seeking an extremely organized, polished, and proactive Front Desk Coordinator to join our team immediately. This is an urgent opening for someone who thrives in a fast-paced office environment and takes pride in creating a professional, welcoming, and efficient front-of-office experience.
The right person for this role will be the first point of contact for visitors, clients, vendors, and internal team members. Because of that, it is essential that this individual speaks English clearly, professionally, and confidently, has excellent interpersonal skills, and can manage multiple responsibilities with grace and attention to detail.

Responsibilities
- Welcome and assist visitors, clients, and vendors in a polished and professional manner
- Answer incoming phone calls and electronic communications, directing messages accurately and promptly
- Provide administrative support to leadership and various internal departments
- Maintain office organization, including supplies, inventory, and general front desk operations
- Operate office equipment such as phones, printers, copiers, scanners, and filing systems
- Sort, scan, and distribute incoming mail, packages, emails, and other correspondence
- Coordinate schedules, reserve conference rooms, and help manage calendars
- Collect, reconcile, and submit reimbursement requests and payment-related documentation
- Prepare outgoing packages through carriers such as FedEx and track deliveries as needed
- Support service-related inquiries by routing messages and requests to the appropriate team members
- Handle general office correspondence, questions, and front desk concerns with professionalism
- Distribute outgoing checks to providers and scan incoming checks for the Finance team
- Coordinate with outside vendors and service providers, including building and office maintenance contacts
- Assist in resolving issues related to domestic and international shipments by contacting carriers and communicating updates internally
- Collaborate with management to help maintain and update walk-in schedules for the sales team
- Identify ways to improve administrative processes and support overall office efficiency
- Help maintain a front desk environment that is professional, welcoming, and highly organized at all times
Qualifications - Associate degree or administrative training preferred
- At least 2+ years of administrative, front desk, or office support experience in a fast-paced environment
- Excellent organizational skills and strong attention to detail
- Ability to multitask, prioritize, and remain composed under pressure
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Strong interpersonal skills with a polished and service-oriented approach
- A proactive mindset and the ability to take initiative without constant supervision
- Bilingual and professional in English & Spanish
