Project Assistant – Mechanical Construction (HVAC)

Position Overview
  
We are seeking a highly organized Project Assistant to support the successful delivery of commercial mechanical HVAC construction projects. This position plays a key role in assisting Project Managers and field teams with documentation, coordination, and administrative processes throughout all project phases — from preconstruction through final closeout.
The ideal candidate thrives in a fast-paced construction environment, demonstrates strong attention to detail, and is comfortable managing multiple priorities simultaneously.
  
Responsibilities and Duties

• Provide day-to-day administrative and coordination support to Project Managers and field supervisors
• Assist with bid preparation activities including vendor outreach, quote collection, and compiling supporting documentation
• Prepare and track submittals for mechanical equipment, duct systems, piping, and controls; follow up on approvals and distribute finalized documents to field teams
• Maintain detailed project logs including RFIs, submittals, change orders, deliveries, and drawing revisions
• Support the RFI process by drafting, submitting, monitoring responses, and distributing updates
• Coordinate with vendors and suppliers regarding pricing, lead times, and material deliveries
• Assist with purchase order requests and confirm jobsite deliveries
• Ensure field teams have access to updated drawings, specifications, and approved documentation
• Help track and code invoices, delivery slips, and timecards to appropriate job cost codes
• Support change order preparation by compiling backup documentation and tracking approvals
• Schedule project meetings, document minutes, and distribute action items
• Assist in updating short-term schedules and coordinating manpower or equipment needs
• Maintain organized electronic and physical project files in accordance with internal standards
• Support closeout efforts including O&M manuals, warranty documentation, as-built drawings, and punch list tracking
• Communicate professionally with general contractors, engineers, vendors, and internal teams within the commercial mechanical construction industry

Requirements 

• Associate´s degree or coursework in Construction Management, Business Administration, or related field
• 1-3 years of experience in construction administration or project coordination (mechanical or HVAC experience)
• Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to learn construction management software
• Strong organizational and time-management skills
• Excellent written and verbal communication abilities
• Ability to manage multiple projects in a deadline-driven environment
• Professional demeanor and collaborative team mindset
• Experience with Procore, Bluebeam, or similar construction project management platforms preferred
• Basic understanding of HVAC systems and commercial mechanical terminology
