ttg Talent Solutions is partnering with a well-established service-based organization seeking a highly organized and customer-focused Service Department Coordinator.
This role plays a vital part in ensuring seamless coordination between customers, field technicians, supervisors, and project managers. KEY RESPONSIBILITIES
Service Coordination & Scheduling
- Coordinate daily service operations and allocate field resources efficiently
- Schedule technicians, subcontractors, materials, and equipment based on project scope and availability
- Maintain and update dispatch schedules and service boards
- Forecast workload 2-3 days in advance to ensure operational readiness
- Generate and manage work orders within the service management system
- Dispatch technicians and communicate service details to customers
Customer Experience & Communication - Serve as a primary point of contact for customer service inquiries
- Respond promptly to messages and service requests, including overnight communications
- Maintain customer satisfaction by addressing concerns and routing issues appropriately
- Follow up on pending and recommended work
- Communicate updates regarding parts availability and scheduling
Operational & Administrative Support - Debrief technicians after each completed service call
- Maintain maintenance agreements including scheduling and material staging
- Order parts and coordinate manufacturer warranty documentation
- Update customer files and service databases with accurate records
- Compare service timecards with work orders and schedules for accuracy
- Support preparation of service contract proposals
- Maintain historical service documentation within database systems
- Perform additional duties as assigned
QUALIFICATIONS - High school diploma or equivalent required
- Associate degree preferred
- Minimum of 2 years of experience in administrative support, dispatch coordination, or service operations
- Experience within HVAC, mechanical services, construction services, or a related technical field preferred
CORE COMPETENCIES - Strong organizational and scheduling skills
- Ability to multitask in a deadline-driven environment
- Proficiency in service management software and Microsoft Office Suite
- Excellent verbal and written communication skills
- Customer-focused mindset with problem-solving capabilities
