A premium interior solutions provider serving high-end development projects that collaborates closely with developers, architects, interior designers, and homeowners to deliver tailored solutions is looking for a full-time receptionist.
The Receptionist is the first point of contact for clients, visitors, and team members. This role supports smooth daily office operations by providing administrative assistance to management and multiple departments. The ideal candidate is organized, proactive, personable, and comfortable multitasking in a fast-paced, client-facing environment.
Responsibilities
Welcome and assist visitors, clients, and vendors in a professional manner.
Answer and route incoming calls, emails, and general inquiries with accuracy and timeliness.
Provide administrative support to leadership and cross-functional teams.
Coordinate schedules, manage calendars, reserve conference rooms, and maintain walk-in schedules as needed.
Handle mail and deliveries: sort, scan, distribute incoming correspondence; prepare outgoing packages and shipments.
Track office supplies and inventory; place orders and maintain organization of common areas.
Operate standard office equipment.
Assist service/operations teams by logging client inquiries and routing messages to the appropriate contacts.
Support reimbursement and payment documentation processes; collect, reconcile, and submit required materials.
Distribute outgoing checks to vendors/providers and scan incoming checks to the finance team.
Coordinate with third-party vendors.
Help resolve shipping issues by contacting carriers and communicating updates internally.
Identify opportunities to improve administrative processes and overall front office efficiency.
Maintain a welcoming, organized front desk environment where visitors feel supported and attended to.
This is an in-office role requiring the ability to sit, stand, and use a computer and phone for extended periods. Occasional lifting of packages or office supplies may be required.
Qualifications
High school diploma or equivalent required; associate degree or administrative training preferred.
2+ years of administrative experience in a fast-paced office environment.
Bilingual Receptionist
Proficiency in Microsoft Office (Word, Excel, Outlook) and general office technology.
Strong communication and interpersonal skills with a customer-service mindset.
Highly organized with strong attention to detail.
Able to manage multiple priorities with professionalism and discretion.
Proactive, solutions-oriented, and dependable.
