ABOUT THE ROLE
We are seeking a proactive and highly organised Team Administrator to support the operational delivery of the Commissioning, SCADA and Field Services teams. Reporting to the General Manager - Projects, you will play a key role in enabling operational activities to be delivered safely, efficiently, and in line with project and portfolio requirements.
Key responsibilities include:
- Track small‑project tasks to support monthly claims and invoicing.
- Coordinate travel, accommodation, and administrative support for operational teams.
- Support onboarding process of new employees collaborating with Support Services to ensure IT access/systems and PPE is organised.
- Manage invoicing, timesheet reconciliation, and procurement activities.
- Obtain supplier quotes, raise purchase orders, and support equipment hire.
- Assist with equipment and asset management, including calibration registers and tracking.
- Organise collection and delivery of project equipment and materials.
- Prepare and edit documents using the Microsoft Office suite and maintain SharePoint files.
- Coordinate meetings, take minutes, manage vendor administration, and track action items.
- Support fleet maintenance, registration and insurance records, and insurance claims.
- Provide high‑level administrative support to project teams and contribute to a collaborative team environment.
ABOUT YOU You are an organised, detail‑focused professional who thrives in a fast‑paced project environment. You enjoy supporting operational teams, building strong working relationships, and keeping projects moving through excellent coordination and communication.
- Bachelor's degree or diploma in Business or a related discipline.
- Minimum 1 year of relevant administrative or project support experience.
- Class C Driver Licence.
- Strong proficiency across the Microsoft Office suite.
- Excellent written and verbal communication skills, with well‑developed interpersonal abilities.
- Demonstrated understanding of, and commitment to, HSEQ principles.
- Construction White Card - desirable.
- Experience using Pronto or similar project execution software - desirable.
