More action is needed to reduce emissions and manage climate change. Your role
As Office Coordinator within our Corporate Operations team, you will be responsible for overseeing our front desk / reception area as well as undertaking behind-the-scenes operations at our Melbourne office. The role will include performing various administrative, operational and financial tasks to ensure the office's operations run smoothly. The successful candidate will be required to work onsite at the office at least four days per week.
The focus of the role will be facilitating successful operations within the Melbourne office including the timely processing of invoices, work orders, contractors and other miscellaneous day-to-day tasks. This also includes ensuring equipment and supplies are maintained and dealing with ad hoc problems in a timely manner.
What you will do – Core Accountabilities include:
General Office Support and Front Desk Duties:
- Undertake administrative tasks to ensure the Melbourne office functions effectively including managing office supplies (such as kitchen and stationery supplies), allocating equipment, coordinating maintenance requests, managing records and managing accounts for the office.
- Support the Head of Corporate Operations with office facilities contracts and vendors including but not limited to office repairs and maintenance to ensure vendor compliance with relevant contract deliverables.
- Be the first point of contact and initial responder for SEC employees who raise requests, issues or concerns about the office or building facilities and communicate all new requests and updates via the building maintenance portal.
- Act as a key liaison with the building security team and building management including coordination of building passes.
- Oversee the presentation and maintenance of the office, including meeting rooms, and communal spaces, ensuring they are clean and organised.
- Management of SEC mail services including acting as a key liaison point with Australia Post and courier contractors.
Workplace Environment and Coordination - Attend to general inquiries, welcome and assist visitors and stakeholders, and maintain a professional and friendly front-of-house presence at the front reception desk.
- Liaise and coordinate with stakeholders with regards to regular and ad hoc business and office events such as the coordination of meetings and activities (catering, executive meetings, training courses etc.) and support other administration staff with their duties as required.
Who you are: Must Have: Your capabilities and areas of expertise that matter most for this role are:
- Prior experience in a front of desk / reception role.
- Experience in Office Management or similar with working experience in facilities management and administration.
- Understanding of facility/property compliance requirements within an administrative environment.
- Strong knowledge of Microsoft Office, including Office 365, and Microsoft Teams.
- A driven self-starter, who can work both autonomously and with direction.
- Excellent attention to detail, organisational and time management skills.
- Great interpersonal skills, and an ability to foster positive relationships across the organisation.
- Enjoys a variety of tasks and is flexible and adaptive to changing workloads, deadlines, and developments.
