About the Role: Some of the key responsibilities of the role include:
Calendar Management: Manage the Directors' professional schedules and coordinate appointments, meetings, and personal commitments, ensuring optimal time management.
Communication Liaison: Act as a point of contact for both internal and external stakeholders, handling phone calls, emails, and correspondence on behalf of the Directors.
Travel Coordination: Occasionally organise business travel arrangements and itineraries.
Document Preparation: Prepare and edit letters, scan and file client documentation.
Meeting Coordination: Organise meetings and conference calls, prepare agendas, gather information, and follow up on actionable items.
Confidentiality: Maintain discretion and handle sensitive personal and professional information with integrity and confidentiality.
Task Prioritisation: Balance and prioritise tasks, ensuring the Directors’ time is used effectively.
Special Projects: Assist with ad-hoc personal and professional projects as directed by the Directors and line manager.
Problem-Solving: Anticipate the Directors’ needs and proactively address challenges before they arise.
File Management: Keep professional records organised, ensuring easy access when required.
The Ideal Candidate: The ideal candidate will have excellent organisational, communication, and time management skills, along with the ability to manage multiple tasks simultaneously while maintaining confidentiality.
Proven experience as an Executive Assistant or in a similar role supporting high-level executives.
Exceptional organisational skills, with the ability to multitask and manage competing priorities.
Strong communication skills and the ability to represent the Directors effectively with internal and external contacts.
Ability to maintain confidentiality and exercise discretion at all times.
Strong attention to detail and problem-solving capabilities.
Flexible, adaptable, and able to work independently with minimal supervision.
Professional demeanour with a positive, initiative-taking attitude.
