POSITION OVERVIEW:
The Finance Assistant is responsible for providing confidential, administrative and financial
support to the Manager, Finance and Reporting and the Finance Team.
This position is required to have transactional processing skills across Accounts Payable,
Accounts Receivable, and other supporting finance tasks. The role is generalist in nature, and
will be required to provide full-time leave coverage to supplement all members of the Finance
team.
POSITION DUTIES AND RESPONSIBILITIES:
Finance Assistant duties.
• Process financial transactional entries such as standing/simple journals.
• Complete daily bank reconciliations.
• Assist when requested the day-to-day management of corporate credit card
transactions and follow up outstanding credit card receipts in a timely manner.
• Assist with monthly Balance Sheet Reconciliations as required.
• Prepare BAS and any ABS returns in line with due dates, ready for submission.
• Assist with internal/external financial audits.
• Provide administrative support with fleet as requested.
• Provide administrative support to other parts of the finance team.
• Perform other duties as required.
ACCOUNT RECEIVABLE DUTIES:
• Generate invoices, both automated and manual, send to customers and record
transactions.
• Perform administrative and clerical tasks, such as data entry, preparing invoices, sending
overdue reminders, filing information, and contacting clients to discuss accounts.
• Work with other departments to ensure that the correct amounts are collected in a
timely manner.
• Collect payments, post receipts in a timely manner, and apply fair credit practices.
• Investigate and resolve any irregularities or enquiries.
• Adhere to legislative guidelines and the Privacy Act.
• Follow the guidelines contained in the Debt Collection Policy.
Ensure daily monitoring of debtor balances to continue reducing both average days outstanding and reduce risk of bad debts.
• Uphold company payment terms, and regularly follow up on late payments.
• Investigate and resolve any irregularities or enquiries for disputed/delayed payments.
• Initiate negotiations on payment arrangements with debtors to an agreed and
contracted periodic debt repayment.
• Work to Key Performance indicators (debtor days less than 14).
• Facilitate advanced collections activity, such as sending reminder letters, letters of
demand, and final notices prior to sending to external debt collection.
• Report on Aged Receivables plus other ad hoc reporting as required.
• Generate reports on outstanding issues, whilst highlighting potential debtor problems.
Accounts Payable:
• Check invoices for accuracy against the relevant purchase order or contract.
• Verify expense reports and query invoice items/ delivery dockets that do not match to
purchase order.
• Match Invoices with Purchase Order where applicable.
• Code invoices to the relevant cost centre.
• Send invoices to the appropriate authoriser for payment approval.
• Enter invoices into the accounts payable system.
• Process payments owed to suppliers and other creditors as per credit terms.
• Create payment runs for suppliers.
• Verify and process employee expense claims and manage the approval payment
process.
• Perform reconciliations including outstanding items on supplier statements.
• Complete Credit Applications where applicable.
• Be the first point of contact with creditors chasing payment of invoices.
• Support the month-end process by providing supporting documentation for month-end
journals and accruals.
• Report on Aged Payables plus other ad hoc reporting as required.
• Work to Key Performance Indicators (credit days over 14 days).
Selection criteriaMandatory• Advanced mathematical competency, meticulous attention to detail and the ability to
spot errors.
• Discretion in handling confidential or sensitive financial data.
• The ability to meet strict reporting deadlines.
• Familiarity with relevant financial regulations.
• Be able to demonstrate excellent team-work skills.
• Ability to adapt to a diverse set of tasks, learn procedures quickly, and carry out
correctly.
• High attention to detail.
• Excellent verbal and written communication skills.
• High level of interpersonal skills.
• Minimum of 4 years’ experience in a similar position, or have undertaken study, such as
Diploma of accounting, Certificate IV in Business Administration, or similar.
