Primary Objective To deliver high-quality administrative and financial support services to the Communications, Knowledge and Culture Unit, ensuring efficient, accurate, and compliant processing of financial transactions, administrative activities, and operational requirements that support the achievement of divisional objectives.
Context Statement Based at the Batchelor Campus, this position supports the operations of a diverse unit comprising the Marketing and Communications team, Batchelor Press, the Printery, Records and Archives and the Institute Art Curator. The position contributes to the efficient administration of the unit through the coordination of financial and administrative processes, stakeholder liaison, and support for a range of operational activities, including the planning and coordination of internal and external marketing events and promotional activities. Administration officers may be required to drive corporate vehicles and travel to events, including on occasion, overnight.
Duties - Provide administrative support services to staff in the business unit, including receiving and referring phone calls, coordinating correspondence, divisional reporting, records and procurement functions, assistance with human resource management services and managing diaries and event calendars.
- Assist in the preparation of marketing materials, projects and other resource/reference documents.
- Maintain office systems to ensure efficient workflows and accurate records.
- Arrange the payment of invoices and verify receipt of goods.
- Provide a reception service and advice to the general public and other stakeholders in response to queries and/or refer as appropriate.
- Operate within a strong safety culture and implement defined Workplace Health and Safety policies and procedures.
- Coordinate the ordering, receipt, storage, and distribution of branded merchandise, promotional materials, uniforms, and stationery supplies, including the keeping of accurate inventory records, conducting regular stock counts and reconciling physical stock against system records.
- Liaise with merchandise suppliers and print vendors to manage product specifications, proofing, production timelines, and delivery.
- Monitor stock levels and initiate replenishment orders in line with approved budgets and minimum stock thresholds.
- Provide administrative support to the Printery and Batchelor Press as required.
- Undertake other reasonable duties as directed by your line manager.
Essential Selection Criteria - Demonstrated or the ability to quickly acquire experience in providing administrative support in duties such as monitoring phone calls, managing calendars, scheduling meetings, minute taking, handling correspondence, records/information management, travel and accommodation bookings and procurement functions including purchasing merchandise and processing of journals.
- Proficiency in the use of computer systems and software, including word processing, email, electronic calendar applications and record management systems, and a willingness to adopt new technology.
- Ability to operate effectively and reliably in a diverse team with minimal supervision.
- A ‘can do’ attitude with a high level of flexibility, motivation, initiative, organisational skills, confidentiality, ability to prioritise workloads and meet tight deadlines.
- Strong client interaction and communication skills to communicate professionally and with tact and discretion.
- Good problem-solving skills and attention to detail, including the ability to think creatively and undertake projects, together with the ability to learn and apply processes and concepts quickly.
