Purpose of the Position
This position will be responsible for providing coordination management, secretariat services and administration support to the Director, Student Experience to ensure the goals of the Division are achieved.
  
This position will also play a key component in the Student and External Grievances, Complaints and Appeals Procedure for the Institute, and the Staff Induction Procedure for the Student Experience Division. 
Duties

• Ensure the efficient administrative operation of the Director’s office by developing and maintaining procedures and systems for the appropriate management of records and correspondence, inquiries, and complaints.
• Maintain the Director’s diary, organise meetings / appointments, travel and accommodation.
• Provide a quality secretariat service including coordinating meetings; preparing agendas, correspondence, briefings, reports and minutes; and following up on matters arising.
• Manage incoming/outgoing communication and workflow, including prioritising and monitoring important issues and deadlines.
• Actively contribute to a culture of achievement within the Institute and develop and maintain effective collaborative relationships with a diverse range of stakeholders.
• Undertake small projects and/or events as identified and negotiated with the Director, Student Experience.
• Purchase approved goods and services via corporate credit card or Purchase Orders; reconcile and acquit any such purchases and prepare the acquittal of monthly transactions.
• Act as the Complaint Coordinator and maintain a Complaint Register, assign Student and External Grievances and Complaints to relevant officers of the Institute for investigation and/or action, including directing Appeals, and provide regular reports to the Institute Executive.
• Act as the first point of contact for staff undertaking a Student Experience Staff Orientation.
• Maintain effective governance and reporting systems in all areas of responsibility and adhere to required work, health, and safety requirements.
• Undertake other reasonable duties as directed by your line manager.

2. Highly effective interpersonal skills including proficient written and oral communication which can be adapted to meet the needs of people from all educational levels.
3. Ability to build strong relationships with both internal and external stakeholders.
4. Demonstrated initiative and managing workload priorities.
5. Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and Procedures.
6. Demonstrated ability to manage confidential and sensitive information with discretion and work independently with minimal direction.
7. Demonstrated ability to effectively manage small projects or events with competing demands.
8. Proven experience in working independently and as part of a team, with the ability to adapt to change and be self-motivated and take initiative.
