Purpose of the Position
The Student Administration Assistant - VET is responsible for the processing of Vocational Education and Training (VET) student enrolments, resulting and advanced standing.

Duties

• Assist in the review of Student Administration processes and procedures related to VET policies, to enhance clarity around Student Experience responsibilities and functions to both internal and external stakeholders, regarding the following

1. Enrolment(s)
2. Resulting
3. Advance Standing

• Process and respond to queries and requests related to

1. Unique Student Identifier (USI) and Enrolments
2. Resulting
3. Credit Transfers and Recognition of Prior Learning
4. VET Enrolment and Fee Invoices

• Assist in the correction of data, and processes related to Unique Student Identifier (USI) including the USI Registered Training Organisation (RTO) Portal, the Student Management System and related data systems used by Student Administration.
• Assist and participate in audits, queries and administrative tasks as required by internal and external stakeholders, or as required by the Team Leader.
• Under direction of the Team Leader, assist in the maintenance of processes related to ASQA, TEQSA, NCVER, and/or Commonwealth/State audits and reforms, including the introduction of changes to student data fields resulting from legislative changes at Commonwealth/State levels.
• Assist in the promotion of relevant Student Administration policies related to VET and provide guidance to internal and external stakeholders regarding the application of these.
• Assist in the organisation of student and staff induction segments related to Student Administration - VET, as required.
• Undertake user testing as required
• Comply with relevant document storage policies, guidelines and procedures.
• Undertake other reasonable duties as directed by your line manager.

Selection Criteria

1. A minimum tertiary qualification of a Certificate II level or higher in a relevant discipline (or working towards completion of), or a mix of tertiary qualifications and relevant experience in a similar role.
2. Demonstrated ability to work effectively in culturally diverse teams within the social, political, and cultural environments of Aboriginal and Torres Strait Islander families, communities, and organisations.
3. Demonstrated capability in the understanding and interpretation of procedures and processes
4. Demonstrated capability in participating in a diverse team to obtain outcomes of success
5. Highly effective interpersonal skills including proficient written and oral communication which can be adapted to meet the needs of people from all educational levels.
6. Ability to build strong relationships with both internal and external stakeholders.
7. Demonstrated initiative and managing workload priorities.
8. Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and Procedures.

Desirable

• Demonstrated experience in high volume data entry.
