What’s the opportunity
Reporting directly to the Financial Controller, you will be the operational backbone for people administration. As the Payroll & HR Coordinator, your focus will be on delivering seamless, high-quality HR administration support while maintaining accurate payroll workflows for a workforce of over 40 staff (and growing).
This role sits at the heart of the Finance team in the technical engineering and specialized construction sector. Based full-time in the Macquarie Park office (Monday to Friday), this is a hands-on, varied position with an estimated 70/30 workload split between HR administration and payroll coordination.
What you’ll do
You will focus on managing day-to-day HR administration across the employee lifecycle and coordinating payroll processing.
- HR Administration: Prepare and issue approved employment contracts, offer letters, and variations to existing contracts. Maintain personnel files and HR Policies, track probation periods, leave and serve as the first point of contact for routine HR inquiries.
- End-to-End Payroll Coordination: Coordinate payroll processing via ADP Celergo. Collate, track and submit all changes each cycle, review and approve payroll calculations, ensure compliance with enterprise agreements, company policies and statutory legislation as well as resolve payroll queries.
- Onboarding & Offboarding Facilitation: Coordinate onboarding and offboarding activities in close partnership with the Office Administrator. Manage / exit workflows and final pay calculations when required.
- Recruitment Support: Support recruitment activities, draft job postings, scheduling interviews between candidates and coordinating reference and background checks.
- HR Data & Reporting: Maintain master employee data integrity. Identify and escalate payroll risks, errors or compliance issues in a timely manner. Lead payroll system upgrades, HRIS migrations, and data clean up activities. Assist the Financial Controller with payroll reconciliations, internal and external reporting as well as audit support.
What you’ll bring to the role The ideal candidate is a reliable, proactive, and level-headed professional who takes pride in maintaining precise employee records and meeting strict payroll deadlines.
- Relevant Experience: 1 - 3+ years of proven experience in Australia for HR administration, payroll coordination, or generalist HR/Payroll support. Exposure to the construction, engineering, or project-based sectors is advantageous but not essential.
- Payroll & Systems Aptitude: Practical experience in end-to-end payroll collation and processing for both salaried and non-salaried (wage) employees. A strong understanding of Australian payroll statutory requirements. Experience with ADP Celergo or similar as well as exposure to system upgrades / implementations.
- Contract & Administrative Precision: Exceptional attention to detail with strong Microsoft Word and Excel skills, specifically in formatting contracts, variations to conditions, and tracking spreadsheets.
- Communication & Confidentiality: Outstanding verbal and written communication skills with the utmost discretion and confidentiality when handling sensitive employee and financial data.
- Dependable Work Ethic: Highly organized with a practical, roll-up-your-sleeves attitude, comfortable managing recurring deadlines.
