What’s the opportunity
Reporting to the Office Manager with a secondary reporting line to the COO, you won’t just be managing a front desk; you will be the operational backbone of the client services team. As the Administration Team Leader, your focus will be on leading and coaching an administration team of 8 to 10 team members, ensuring smooth daily operations and exceptional care across the clinics.

It is a fast-paced, varied position where you will balance team mentorship and complex medical billing with direct, meaningful client interactions. What you’ll do
You will focus on coordinating day-to-day administration, optimizing workflows across sites, and ensuring both clients and visiting medical specialists receive exceptional support.
- Team Leadership & Coaching: Lead by example, distributing daily or weekly workloads and providing training and guidance to the reception team to maintain service excellence.
- Operational & Roster Support: Assist with staff rostering across sites, coordinate clinic maintenance, manage schedules within our systems, and ensure clinics are adequately stocked.
- Claims & Funding Administration: Handle the accurate batching and submitting of Hearing Services Program (HSP) and Medicare claims, resolving errors, and managing third-party invoices.
- Client Relationship Management: Act as the trusted main point of contact for first-level escalations, handle inbound enquiries, and proactively greet and support clients and medical specialists.
- Technical Support: Perform basic hearing aid troubleshooting and minor equipment maintenance, such as changing wax filters, replacing receivers, and pairing client devices via Bluetooth.
What you’ll bring to the role The ideal candidate is a reliable, empathetic, and level-headed professional who remains calm under pressure and takes pride in organizing a busy team environment. A warm, welcoming personality is a must, and success looks like someone who thrives on autonomous problem-solving and checking off a varied to-do list.
- Team Leadership & Coaching: Ideally 18 months to 2 years of experience leading or mentoring teams. You can lead by example, effectively distributing workloads and providing the guidance needed to maintain service excellence.
- Service & Admin Depth: 3–5 years of proven experience in customer service and administration roles; experience within audiology, allied health, GP, or specialist medical clinics is highly regarded.
- Industry Knowledge: Previous experience with Medicare, health insurance claiming, or the Hearing Services Program (HSP) is beneficial (but not essential)
- Technical Savvy: Intermediate-to-advanced computer literacy, with the ability to confidently navigate CRM software (such as CounselEAR, Medilink, or similar systems).
- Communication Excellence: Outstanding written and spoken skills to tailor communication effectively for clients, internal staff, and external medical specialists.
