The Role
Following the promotion of the current Office Manager, we're delighted to be recruiting for this position again. As Office Manager/EA, you'll be the person who keeps the Melbourne office running smoothly. You'll take ownership of everything from meeting rooms, visitors and office facilities through to events, suppliers and those countless day-to-day details that make an office a great place to work. You'll also provide executive and administrative support to the Chief Operating Officer based in Sydney. The COO is relatively self-sufficient, so this isn't a traditional high-volume EA role. Rather, it's a varied position combining office management with executive and team support – perfect for someone who loves being the trusted 'go-to' person and enjoys making things happen behind the scenes.
Responsibilities:
- Taking ownership of the smooth day-to-day running of the Melbourne office
- Meeting and greeting visitors and ensuring a warm, professional office experience
- Coordinating meeting rooms, catering, equipment and other meeting requirements
- Managing office facilities, suppliers, maintenance and general office requirements
- Coordinating staff functions, team events, off-sites and boardroom events
- Providing meeting and administrative support to the COO as required
- Coordinating travel and itineraries
- Assisting with expenses, invoices and reconciliations
- Preparing and formatting documents, presentations and other correspondence
- Providing broader administrative support across the Legal, Risk, Compliance and Investment Risk team
- Liaising with interstate colleagues and other Office Managers to share workload and ensure consistency across the national business
- Generally being one step ahead and making sure everything in the Melbourne office runs seamlessly!
About You We're looking for an experienced
Office Manager, EA or senior administrative professional who genuinely enjoys being at the heart of an office and taking care of the people around them. You'll be proactive, organised and resourceful, with the confidence to take ownership of your role and the judgement to know what needs attention without always needing to be asked.
You'll also bring:
- Previous experience in office management, executive support or a similar senior administrative role
- A polished and professional approach
- Excellent organisational skills and attention to detail
- Strong communication and interpersonal skills
- The ability to build trusted relationships across all levels of a business
- A flexible, hands-on and genuinely helpful approach
- Strong Microsoft Office skills
- Discretion and sound judgement when working within a professional corporate environment
This is a
0.8 FTE role worked across five days, based in the Melbourne office.
