The Opportunity
Our client is a well-established Australian organisation experiencing an exciting period of growth. Located in Melbourne’s outer north, this is an ideal opportunity for someone looking to work closer to home and become part of a growing organisation where they can make a genuine impact.
As their operations continue to expand, they are looking for a proactive, organised and people-focused Office & Community Coordinator to become the heart of their office.
This is a role for someone who enjoys variety. One minute you’ll be coordinating meetings and visitors, the next you’ll be organising an event, preparing reports or helping create content that supports the organisation’s community initiatives.
Working closely with the Community Manager and HR Manager, you’ll become a trusted member of a collaborative team where no two days are ever the same. You’ll be joining a down-to-earth, supportive environment where people genuinely enjoy rolling up their sleeves, helping one another and celebrating success together.
This is a fully office-based role, ideal for someone who enjoys being amongst the action and genuinely loves creating a positive experience for staff, visitors and stakeholders alike.
The Role
You’ll be responsible for keeping the office running smoothly while providing broad administrative and coordination support across the business. You’ll take ownership of day-to-day office admin, help deliver community initiatives and events, and ensure everything behind the scenes runs seamlessly.
Your responsibilities will include:
- Coordinating meeting rooms, catering and advertising.
- Managing office supplies.
- Preparing meeting agendas and following up action items.
- Assisting with reports, presentations and document management.
- Managing inbound enquiries and providing exceptional customer service.
- Supporting internal and external communications.
- Coordinating community events, stakeholder functions and special projects.
- Providing general administrative support across the wider team.
About You You’re someone who genuinely enjoys being the person everyone relies on. You build strong relationships with ease, take pride in delivering a high standard of work, and are happiest in a role where no two days are the same.
You’ll be proactive, reliable and comfortable working in a fast-paced, ever-changing environment, juggling competing priorities while remaining calm, organised and one step ahead. You have a keen eye for detail, enjoy variety and are someone who naturally takes ownership, ensuring nothing slips through the cracks.
Ideally you’ll bring:
- Previous experience in office coordination, administration, executive support or a similar role.
- Exceptional organisational skills and strong attention to detail.
- A natural ability to build trusted relationships with colleagues and external stakeholders.
- Confidence coordinating meetings, events and multiple priorities simultaneously.
- Strong communication skills and a genuine passion for delivering exceptional service.
- Solid Microsoft Office skills and the ability to quickly learn new systems.
- A positive, hands-on approach with the flexibility to pitch in wherever needed.
