Recruitly is delighted to be partnering with the Federation of Community Legal Centres Vic. (the Federation) to appoint an Executive Assistant to their Chief Executive Officer (CEO) and Board. The Federation is the peak body for Victoria’s 50 Community Legal Centres, who are at the forefront of helping those facing cultural, economic or social disadvantage and whose life circumstances are severely impacted by legal challenges.

About the Role
As Executive Assistant to the CEO and Board, you will provide high level executive, administrative and governance support to the CEO and Board, ensuring the smooth and efficient flow of organisation wide work.
This is a varied and fast-paced role requiring exceptional judgement, discretion and organisational skills. You'll anticipate the CEO's needs, confidently manage competing priorities and play a key role in supporting effective leadership and governance across the organisation.
Key Responsibilities
- Proactively managing the CEO's diary and daily priorities, including scheduling and coordinating meetings and events for the CEO to maximise efficiency.
- Providing end-to-end governance support to the Board and Committees, including meeting coordination, board papers, agendas, minutes and action tracking.
- Acting as a trusted point of contact for board members, Federation members, senior stakeholders and sector partners, building strong professional relationships.
- Preparing high-quality reports, presentations, correspondence and documents for the CEO.
- Coordinating special projects, events and organisational initiatives on behalf of the CEO.
- Maintaining effective administrative systems and collaborating across the organisation to continuously improve processes and support organisational priorities.
Skills and Experience - Significant experience providing executive support to a CEO or senior executive.
- Demonstrated experience supporting boards and governance processes, including preparing board papers and taking accurate minutes.
- Outstanding written communication skills, with the ability to prepare high-quality correspondence, reports and presentations.
- Exceptional organisational skills, sound judgement and the ability to manage multiple priorities with professionalism and initiative.
- Strong relationship-building skills and the confidence to engage with senior stakeholders.
- A high level of integrity, discretion and professionalism when handling confidential information.
- Advanced Microsoft Office skills (including SharePoint) and confidence learning new systems.
- A collaborative, adaptable approach and a genuine commitment to the Federation's values and social justice mission.
- Qualifications in business administration or a related discipline is desirable.
- Experience within the not-for-profit, community, membership or legal assistance sectors will be highly regarded.
