This is a fantastic opportunity to join the Melbourne office of a highly regarded UK-owned private equity and strategic capital firm in a newly created Personal Assistant/Team Assistant role. Based in a modern co-working space on St Kilda Road, with magnificent views across the Shrine, the culture is non hierarchical, ego-free and outcome-oriented and you'll love the opportunity to support interesting projects as an integral member of this high caliber, yet down to earth team. While consistency is the key, there is also flexibility to work shorter hours or a 4-day week if preferred.
The Role
As the business grows, there is a need for a Personal Assistant to support the delightful Director and his small high performing team, taking ownership of the administrative and operational coordination that keeps the day-to-day business running efficiently. This is a varied role that will suit someone who can work autonomously, create some structure around processes and be flexible as priorities change.
Key responsibilities will include:
- Managing and coordinating the Director’s calendar, meetings and schedule
- Organising internal and client meetings
- Monitoring and prioritising emails and follow-ups
- Liaising with colleagues nationally to coordinate activities and communications
- Prepare and format documents/proposals etc
- Liaising with clients, law firms and Board members
- Arranging travel, accommodation and itineraries
- Creating a marketing calendar and managing all client and staff events
- Preparing expense claims and assisting with monthly reporting
- Ad-hoc research and side projects as required
- Acting as the go-to person for general office coordination and support
About You We're looking for an energetic, proactive and helpful PA, Team Assistant, or senior administrator who enjoys working closely with senior stakeholders and supporting a busy, professional team. You'll need to have strong written and verbal communication skills, strong organisation and time management and a discreet, reliable approach. MS Office skills and the ability to learn and implement Ai is essential. Ideally you'll come from a professional services, consulting, legal or financial services environment but of most importance will be your helpful, team player mentality, your ability to think ahead and your willingness to pitch in and make things happen.
