Patient Onboarding & Payments Coordinators.
This is a meaningful role supporting patients at the beginning of their fertility journey. You will guide new patients through the onboarding process, providing clear, accurate and compassionate assistance across administrative and financial matters. Working face-to-face, over the phone and via email, you will become a trusted point of contact — helping patients feel informed, supported and confident as they commence treatment. Your ability to communicate with warmth, discretion and professionalism will be essential.
This is a stable, full-time, office-based position (38 hours per week), working 8-hour shifts between 7:00am and 5:00pm, Monday to Friday. Approximately one Saturday per month is required (penalty rates apply, plus a day off in lieu). Full training will be provided, and you’ll be supported by a knowledgeable and collaborative team.
Key Responsibilities - Supporting patients with enquiries, documenting information and ensuring timely follow-up
- Registering new patients within the patient management system and confirming identification requirements
- Coordinating nursing, counselling and specialist appointments
- Guiding patients through financial information, including Medicare, private health cover and payment instalments
- Ensuring all administrative processes and consent documentation are completed prior to treatment
- Liaising effectively with fertility specialists, medical secretaries and internal departments
- Maintaining strict compliance with company policies and procedures

- Confidence explaining information clearly and sensitively
- Intermediate Microsoft Word and Excel skills
- The ability to quickly learn new systems (experience with patient management systems highly regarded)
