Located in leafy surrounds at their Caulfield clinic , this organisation is a collaborative, fully integrated team of fertility specialists, nurses, scientists and counsellors all working together to improve patient outcomes and care.
The Role
As a Medical Secretary, you will support a busy Fertility Doctor with their day to day administration and patient management. You will also provide reception services for up to three Doctors. Based at reception when in the office, your varied day to day duties will include:
- Managing the Doctor's time through effective diary, appointment and inbox management
- Handling incoming calls, greeting guests, mail and correspondence
- Maintain the appointment management system including rescheduling, cancelations, follow ups etc
- Management of documentation and electronic records
- Maintain clear communication channels between all Melbourne IVF departments, Victorian day hospitals, Virtus Health, Fertility Specialists and key stakeholders
- Reconcile and account for the days takings
- Organise theatre bookings for patient procedures
- Typing correspondence, printing patient file notes etc
- Order supplies for Specialist Doctor' as required
- Keeping the waiting room in order, looking after stationary, deliveries etc.
Skills and Experience
With the flexibility to work from home up to 2 days per week, you will thrive in this busy, patient focused role, where your strong communication skills, exceptional organisational ability and patient empathy will be key. Ideally, we're looking for someone with previous medical industry experience in a reception, administration or secretarial capacity. IVF industry experience is extremely desirabl , as is working with Genie/Gentu practice management software - although not essential. Hours are Monday to Friday working a standard 7.6 hours per day between the hours of 7am and 6pm.
