About the Role
The organisation is undergoing a major transformation on a global scale and we're looking for an experienced EA/Program Coordinator to support the dynamic Chief Transformation Officer and Transformation Director, while also providing project support to the wider team. As the backbone of the Transformation Office, you'll set up and run workshops, coordinate diaries for senior leaders, and keep the program's logistics humming day to day, including meeting cadence, calendars, travel, streams, roadmaps and governance etc. Your responsibilites will include:
- Plan, schedule and assist workshop sessions (create agendas, pre-reads, room/links, invites, catering etc)
- Capture high quality minutes
- Coordinate travel and logistics for global meetings
- Diary management for the CTO and Director
- Set and maintain the Transformation Office calendar (stand-ups, governance forums, prep/review cycles)
- Coordinate across teams to keep roadmap activities aligned to governance dates
- Prepare pre-reads, talking points and packs for workshops and meetings
- Ensure consistent message cascade to senior leaders (It's a Wrap and Town Halls etc)
- Maintain accurate records and communications
Skills and ExperienceThis is a varied, interesting role working with a friendly, down to earth and energetic team. As an integral member of the Transformation Team, you'll be fully integrated and will act as the 'go-to' person for all things admin, organisation and coordination. We're looking for someone with proven coordination experience in complex, multi stream programs, advanced calendar management across global timezones, and strong written communication skills. Exposure to a large change project will be highly desirable, along with the ability and willingness to roll up your sleeves to support the team in every endeavour. Advanced MS Office a must (MD 365, Teams, Sharepoint/OneDrive, Viva Engage etc).
