About the Role
This is a rare opportunity for a highly experienced Executive Assistant with program coordination expertise to step into a critical role within a global Transformation Office. The organisation is undertaking a significant, enterprise-wide transformation and is seeking an accomplished EA / Program Coordinator to provide trusted support to the Chief Transformation Officer and Transformation Director, while also enabling the broader transformation team to operate seamlessly. As the operational backbone of the Transformation Office, you will bring structure, momentum and clarity to a fast-moving, multi-stream program. This role will suit someone who thrives in complex environments, anticipates needs, and can confidently manage senior stakeholders, global diaries and shifting priorities across time zones.
Key Responsibilities
- End-to-end coordination of global workshops and forums
- Advanced diary and meeting management for the CTO and Transformation Director across global time zones
- Coordination of travel and logistics for global leadership meetings
- Establish and maintain the Transformation Office operating rhythm, including organising stand-ups, governance forums, planning and review cycles
- Capture and produce high-quality minutes and actions
- Align roadmap activities and workstreams to governance milestones and decision forums
- Prepare executive-level packs, talking points and pre-reads for workshops, governance meetings and town halls
- Support clear and consistent communication cascades to senior leaders and broader stakeholder groups
- Maintain accurate records, documentation and communications across the program
Skills & Experience This role will appeal to a seasoned EA who enjoys operating as a true partner to senior leaders and is confident working at scale. We're looking for someone with proven experience supporting C-suite executives in large, complex or global organisations. Ideally, you'll have strong program or project coordination experience across multi-stream initiatives, exceptional diary and calendar management skills, highly developed written communication skills, with confidence producing executive-level documentation, and the ability to stay calm, organised and proactive in a fast-paced, evolving environment. A hands-on, solutions-focused mindset with a willingness to roll up your sleeves and advanced capability in Microsoft 365 (Outlook, Teams, SharePoint/OneDrive, Viva Engage, PowerPoint, Excel). Exposure to large-scale transformation or change program will be highly regarded.
