The Opportunity
Join a leading Australian organisation where you’ll play a key role in keeping a high-performing Executive Director on track. This is an exciting opportunity for a skilled and proactive EA who thrives in a fast-paced, high-energy environment. As the connection point between the Executive Director, senior leadership team, and other EAs, you’ll bring structure, efficiency, and exceptional service to this dynamic role.
Located on St Kilda Road, the office offers a prime location opposite the Shrine and Gardens, with on-site parking and tram access at the doorstep. There will be some occasional work from home once settled.
The Role
This Executive Director moves at an incredible pace, balancing an ever-changing diary, high-level meetings, and strategic initiatives. You’ll be the right-hand person, ensuring seamless coordination and providing strong EA leadership within the broader business.
Your key responsibilities will include:
Diary & meeting management – Scheduling and updating
Event organisation – Coordinating meetings, site visits, strategy days, and leadership meetings
Stakeholder liaison – Engaging with off-site staff and senior executive teams
Office management oversight – Ensuring a smooth and well-run environment
Document management - creating and formatting
Expense management – Reconciling and managing executive expenses
Team culture & engagement – Supporting workplace wellbeing and fostering a positive, collaborative team dynamic
EA team collaboration – Partnering with other EAs to drive efficiency and best practices
Who We’re Looking For
This role requires a seasoned, highly capable EA who is confident in navigating a complex corporate landscape.

Exceptional organisational skills with the ability to anticipate needs and stay ahead of the game
High-level communication skills to engage effectively with senior stakeholders
