About the Role
We are looking for an exceptional Executive Assistant to support a highly regarded senior leader in the design industry. This is a pivotal role that blends traditional executive support with the pace and complexity of a creative, client-facing environment. You’ll be trusted to handle high-level coordination, confidential matters, and proactive planning that enables the executive to operate at peak performance.
 
While familiarity with architecture, interior design, or design & build sectors is a plus, we welcome applications from experienced Executive Assistants from other industries—particularly those with proven success supporting fast-paced, visionary leaders.
 
Key Responsibilities

• Calendar & Travel Management: Orchestrate complex calendars, coordinate international and domestic travel, and ensure meeting prep is seamless.
• Communication & Liaison: Manage communications with clients, internal teams, and external stakeholders; act as a gatekeeper and trusted representative.
• Administrative Excellence: Create reports, presentations, and briefing materials; manage expenses and administrative systems with efficiency and discretion.
• Project & Client Coordination: Support the executive in preparing for project meetings, creative reviews, and client engagements—often acting as a point of contact.
• Strategic & Operational Support: Assist with special initiatives, research, thought leadership, and other high-impact activities.
• Workflow Optimization: Anticipate needs, manage priorities, and continuously improve processes to support smooth operations.

 
Who You Are

• Experienced: 5+ years supporting senior executives in dynamic environments—ideally within design, architecture, consultancy, creative services, or a similarly fast-moving sector.
• Detail-Oriented & Strategic: You manage time, tasks, and people with precision while understanding the bigger picture.
• Highly Communicative: Strong writing, editing, and interpersonal skills. You’re comfortable communicating with high-level clients and creative teams alike.
• Discreet & Professional: Trusted with sensitive information and consistently demonstrate sound judgment and integrity.
• Adaptable & Calm: You stay composed under pressure and thrive on solving problems before they become problems.
