About the role:
Reporting to the Team Leader, this position requires a highly meticulous and process‑driven Accounts Payable Officer who can ensure the timely and accurate processing of all supplier and vendor documentation. The role is responsible for maintaining full compliance with business requirements and legislative guidelines, supporting efficient and reliable AP operations.
This position will be based out of our office facility in Noble Park Office.
The key responsibilities of the role are to:
- Process vendor invoices in line with company policies, systems, and established Accounts Payable (AP) procedures.
- Manage vendor communications, ensuring timely responses to emails and phone enquiries while maintaining strong service standards.
- Escalate issues and provide recommendations to the Accounts Team Leader, supporting continuous improvement and risk mitigation.
- Collaborate with internal stakeholders to resolve purchase order discrepancies and support efficient AP operations.
- Perform monthly vendor statement reconciliations, investigating outstanding invoices and credit balances to ensure accurate month‑end reporting.
- Maintain accurate vendor records, including vendor setups and EFTSure verification, ensuring compliance and data integrity.
- Follow up on outstanding invoices and purchase orders with both vendors and internal staff to support timely payment processing.
- Process domestic and international payments with a high level of accuracy, ensuring adherence to company policies and regulatory requirements.
- Manage shared AP inboxes and contribute to high‑quality AP service delivery, supporting continuous development of AP knowledge and undertaking additional duties as required.
About You:
We are seeking a experienced Accounts Payable Officer who can work independently, manage competing priorities, and consistently meet deadlines through a flexible and proactive approach is essential for this role.
The ideal candidate will demonstrate strong personal judgement, particularly when handling sensitive financial matters, and uphold the highest standards of confidentiality. A commitment to delivering efficient, accurate, and high‑quality customer service is critical, along with the ability to contribute positively to a collaborative team environment.
The successful applicant will also be willing to support colleagues and assist in meeting shared deadlines whenever required, ensuring smooth and effective operational outcomes.
The successful applicant will preferably have a construction background and will demonstrate:
- Minimum of two years’ experience in a similar role, with relevant tertiary qualifications considered an advantage.
- Strong computer aptitude with intermediate to advanced skills in the Microsoft Office Suite—particularly Excel, Word, and Outlook.
- High level of accuracy, strong attention to detail, sound personal judgment, and a commitment to maintaining confidentiality when handling sensitive financial information.
- Strong commitment to delivering quality customer service and the ability to work collaboratively, including supporting colleagues to achieve shared goals and deadlines.
