Your Role
You’ll report to the Manager and hold an important position whereby the assistance you provide will contribute to legislative compliance and decisions made. You will provide frontline administrative support across bookings, customer service, answering phones, welcoming site visitors and account services, and daily tasks will look like this;
- Greeting, welcoming and registering visitors on arrival and facilitating meeting refreshments
- Developing and maintaining strong relationships with key stakeholders across all entities within the business to ensure alignment of goals, priorities and processes as well as representing the business with excellence at all times
- Addressing incoming calls and allocating to departments as required
- Providing accurate and efficient data entry into multiple software packages including MYOB and MS365 for run sheet data, mileage reports, purchase orders, supplier invoices and the likes
- Monitoring multiple inboxes and actioning tasks as required by matters of urgency
- Maintaining common areas for presentation including reception, boardrooms and amenities
- Receiving, sorting and collating incoming and outgoing mail and couriers
- Maintaining inventory and placing orders for employee amenities and stationary supplies
- Barcoding, sorting and scanning documents and maintaining physical records accurately and efficiently
- Developing and maintaining structured duties lists and corresponding procedures for business continuity
- Participate in departmental meetings to improve and strengthen internal controls around business processes, information systems and communication
- Assisting management with any other administrative tasks that may be required as the business continues to grow
Other Details
There are various permanent shifts available to choose from and include AM, PM and weekend shifts. Remuneration will be in accordance with shifts worked. There is outstanding room for career development and someone willing to be flexible in a fast moving business, is ideal.
About You - At least 1 year of full-time working experience in a similar position
- Exposure to accounting support is ideal but not necessary
- Certificate or diploma in administration highly regarded, but not essential
- Positive, friendly, and professional demeanour with a can-do attitude
- A confident communicator in person and in writing, with strong grammar and interpersonal skills
- Proficiency in Microsoft office and ideally, MYOB
- Exceptionally organised with high attention to detail
- Ability to multitask and prioritise tasks effectively and simultaneously
- Flexibility and willingness to assist in various tasks as part of a team
