One of Australia’s leading construction companies, renowned for service delivery, timely projects and a group of people highly dedicated to their workplace, is experiencing consistent growth, and a new job has been created for a Personal Assistant to join an established team in Executive Support.
Your Role
As the Personal Assistant, you will hold the exclusive role of supporting the company Founder and Director – this job isn’t for the faint hearted! You’ll manage all personal movements, meeting and travel itineraries, reply to emails, reschedule meetings and grab a hot mocha frappuccino with two shots and a splash of caramel, should that be what the Director needs! Daily duties will involve;
- Daily start-up meetings each morning with the Director to ascertain activities required for the day
- Developing, improving and implementing systems and procedures that maintain an efficient office in the business of real estate, property development and construction
- Work closely with all business unit leaders to ensure the smooth flow of information is delivered to the Director when and where necessary
- Reading board rooms and facilitating Director requirements both during board meetings and after
- Escalating issues to the Director where required and discerning what is and isn’t urgent so as to utilise the Directors’ time efficiently
- Ensuring that the Director has easy access to the information they consider to be important
- Acknowledge the demands of the Director at all times, and support, facilitate and administer activities to suit the deadline at hand
- Maintain confidential records and manage an impeccable filing system
- Prepare and type correspondence, reports and presentation material
- Follow up invitations, events and accommodation requirements
- Make tea or coffee, serve the Director where required and maintain a professional posture at all times despite the task
Other Details The position is a full-time permanent role, Monday to Friday with occasional out of hours contact due to the nature of the industry. You will be required to attend meetings and events with the Director and that may involve community dinners, breakfasts and weekends. The successful incumbent must be flexible with hours and be willing to pivot at all times for an entrepreneur who moves fast. Remuneration guide is $100 – 120K + Super.
About You - You are a self-starter who is highly organised and has excellent attention to detail
- You thrive in a fast, entrepreneurial environment and love to ensure everyone around you is organised
- You are computer and system savvy and know how to spot an improvement opportunity
- You read the room exceptionally well and know when to and not to, raise issues to the Director
- You take initiative in the collation and execution of document control, ensuring the Director is prepared at every interaction that he/ she may have
- You meet deadlines
- You are fit, healthy and willing to travel to functions and events where required
- You communicate professionally with all business units and have strong analytical skills
