About the Role
As the Executive Support & Administration Assistant, you’ll play a pivotal role in ensuring the smooth running of the Executive Office. Supporting the President, CEO, and Executive Team, you’ll manage a wide range of administrative and operational tasks, act as a key liaison with stakeholders, and help deliver on strategic initiatives. This position offers the chance to work closely with senior leaders while contributing to meaningful outcomes in a positive and people-focused environment.
Key Responsibilities
Board Meetings
- Organise and coordinate all Board of Director meetings.
- Prepare agendas, papers, minutes, and associated correspondence.
- Support the CEO and Company Secretary with records management and action follow-ups.
- Maintain board schedules and ensure compliance with requirements.
Executive Support - Manage enquiries and correspondence for the President, CEO, and Executive Team.
- Assist in organising high-level meetings and preparing documentation.
- Provide hands-on support across Board and Executive Council activities.
Executive Administration - Manage diaries, travel bookings, and meeting arrangements for senior leaders.
- Draft letters, presentations, and communications on behalf of the Executive Team.
- Ensure seamless workflow between the President, CEO, Board, and wider Executive Team.
- Handle confidential matters with professionalism and discretion.
- Greet visitors and coordinate meeting logistics, including catering and documentation.
Annual Conference - Support in the coordination of AGMs and Annual Conferences.
- Prepare, collate, and distribute circulars, motions, minutes, and outcomes.
- Assist with the development of conference compendiums and records.
