About the Opportunity We are seeking an exceptional Personal Assistant to a Principal to provide high-level personal, administrative, travel, financial, and private estate management support for a discerning principal and household.
This is a highly trusted, long-term position for an experienced Personal Assistant, Executive Personal Assistant, Household Manager, Estate Manager, or Private Service Professional who is proactive, exceptionally organized, discreet, and capable of anticipating needs before they arise.
The ideal candidate is someone who naturally stays several steps ahead, thrives in a fast-paced private environment, and can seamlessly manage everything from complex calendars and international travel to household staff, financial administration, properties, and special projects.
This position requires someone who is highly responsive, tech-savvy, solutions-oriented, and comfortable working independently with significant responsibility and discretion.
The Five Pillars of the Position1. Calendar & Schedule Management
- Manage complex personal and professional calendars, appointments, meetings, and commitments.
- Coordinate schedules across multiple residences, staff, vendors, and professional contacts.
- Anticipate scheduling conflicts and proactively resolve issues.
- Maintain accurate calendars and ensure the Principal is fully prepared for upcoming commitments.
- Coordinate personal appointments, meetings, events, and other obligations.
2. Financial Administration
- Review American Express statements and transactions for accuracy and completeness.
- Ensure expenses are properly categorized, documented, and filed for accounting and potential audit purposes.
- Organize, coordinate, and approve payments on behalf of the Principal.
- Manage household and property-related bills and financial paperwork.
- Assist with financial organization, reporting, and administrative oversight.
- Maintain accurate and confidential records related to expenses, payments, and investments.
- Coordinate with accountants, financial advisors, and other professional advisors as needed.
3. Luxury Travel Management
- Coordinate domestic and international travel from start to finish.
- Book flights, accommodations, transportation, dining, activities, and other travel logistics.
- Work directly with established villa, hotel, concierge, and travel contacts.
- Manage detailed travel itineraries and ensure every element of a trip is properly coordinated.
- Coordinate packing, luggage, special requests, and travel-related logistics.
- Anticipate potential travel issues and develop contingency plans.
- Travel with the Principal when required.
4. Estate & Household Management
- Oversee the operational needs of multiple private residences and properties.
- Maintain property P&Ls, budgets, expenses, and operational records.
- Supervise, manage, and coordinate household employees and vendors.
- Participate in the hiring, onboarding, performance management, and termination of household staff when necessary.
- Ensure residences are fully “owner ready” before the Principal and family arrive.
- Coordinate maintenance, repairs, housekeeping, landscaping, security, and other property services.
- Establish and maintain high standards for household operations and presentation.
- Coordinate with contractors, vendors, property managers, and service providers.
- Identify property-related issues before they become problems.
5. Anticipating Needs & Problem Solving The most important quality for this position is the ability to

- Coordination with family offices, advisors, attorneys, accountants, and other professionals as needed
Required Qualifications & Skills The ideal candidate will have:
- 5+ years of experience as a Personal Assistant, Executive Personal Assistant, Household Manager, Estate Manager, Family Assistant, or similar private-service professional.
- Experience supporting high-net-worth or ultra-high-net-worth principals and families strongly preferred.
- Demonstrated experience managing complex calendars and schedules.
- Strong knowledge of luxury travel planning and international travel logistics.
- Experience with household or estate management.
- Experience supervising household staff and managing vendors.
- Strong financial and administrative organizational skills.
- Excellent knowledge of Microsoft Office Suite.
- Advanced Dropbox and digital file management skills.
- Strong technology skills and ability to quickly learn new systems.
- Exceptional attention to detail and organizational ability.
- Excellent memory and recall.
- Strong written and verbal communication skills.
