Job Summary
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and personal support for a high-profile individual in the entertainment industry. The ideal candidate will be a resourceful and dynamic professional capable of managing complex calendars, coordinating logistics for business and personal matters, and working effectively with multiple teams.
Key Responsibilities
Entertainment & Business Support
•Manage a dynamic and complex calendar, coordinating with various teams and individuals.
•Schedule and manage brand deliverables in conjunction with the social media team.
•Work closely with the Entertainment Business Manager (EBM) on media opportunities.
•Arrange all travel logistics, including transportation, accommodations, and itinerary creation.
•Coordinate glam teams (makeup, hair, stylist) for various events and engagements.
•Handle on-set shooting schedule management for a popular reality television show.
•Collaborate with the social media manager on content calendar scheduling.
Family & Lifestyle Coordination
•Provide full calendar management for family-related activities, coordinating with external teams.
•Schedule family outings, events, and personal appointments.
•Arrange programs and activities for the baby, including spiritual meetings.
•Serve as a key point of contact for external teams to ensure seamless collaboration and scheduling.
•Assist in coordinating special projects, such as joint ventures with business partners.
Personal Assistant Duties
•Manage the executive's personal schedule, including beauty and wellness appointments.
•Run various personal errands as needed.
Accounting & Finance
•Organize and manage accounting paperwork and financial records.
•Schedule meetings with the CPA for financial reviews and planning.
Qualifications & Skills
•Proven experience as an Executive Assistant, ideally in the entertainment or media industry.
•Exceptional organizational and time-management skills, with the ability to manage multiple priorities.
•Excellent communication and interpersonal skills.
•Experience with complex calendar management across multiple business and personal domains.
•High level of discretion and professionalism.
•Ability to work independently and proactively.
•Familiarity with the entertainment industry and its demands is a plus.
Compensation
W2 & $30 per hour
