Office Manager to join our high-performing team.
About the Role We’re looking for a detail-oriented, service-driven
Office Manager to oversee the daily operations of our front office and administrative team. In this role, you’ll ensure a seamless, elevated patient experience while managing scheduling, staff, and office workflow in a fast-paced, high-end cosmetic medical practice.
Responsibilities - Oversee all front office operations, including scheduling, patient check-in/out, and phone/email management
- Supervise and train administrative and support staff to ensure high performance and professionalism
- Maintain a welcoming and organized office environment for patients and staff
- Coordinate appointments, consultations, and follow-ups with clinical teams
- Ensure patient information is handled in compliance with HIPAA
- Monitor office supply inventory, manage vendor relationships, and handle maintenance needs
- Track operational KPIs and assist with reporting to leadership
- Support billing coordination and payment collection processes
- Respond promptly and professionally to patient concerns
Qualifications - 3+ years of experience in a medical office management role (plastic surgery, aesthetics, or dermatology preferred)
- Strong leadership and problem-solving skills
- Excellent communication and customer service abilities
- Experience with EMR systems (Symplast, Nextech, or similar preferred)
- Highly organized with strong attention to detail
- Bachelor’s degree in business, healthcare administration, or related field preferred
