About the role:
The Corporate Services Administration Officer provides administrative support to corporate services team by overseeing fleet management, providing purchasing and contract registry assistance to the procurement process, and providing general administrative assistance across the property and corporate services portfolio.
Role Responsibilities:
- Maintain accurate records of all vehicles in the fleet management database, including registration and lease expiry dates and cost centre management.
- Assist with registration compliance, inspection, and renewal to ensure that all vehicles are roadworthy and registered for use
- Provide guidance on maintenance procedures such as tyres, car wash, fuel, and flat batteries, ensuring accessories such as e-tags, mobility parking, fire extinguishers, and first aid kits are up to date.
- Assist managers with scheduling repairs and/or installation of vehicle modifications, including liaising with 3rd party providers
- Assist in procedure to file an insurance claim and incident reports for accidents, including reviewing details of claim and assigned smash repairers, and liaising with insurance team as required
- Record and store monthly inspection reports completed by operations, including assisting with scheduling of remediation repairs and reporting to both finance and operations team
- Assist the Operation team with the purchasing of products required by clients in Achieve homes, from ordering through to invoice processing by the accounts payable team
- Purchasing of personal protective equipment and stationery required, following through to order confirmation and invoice processing by account payable team
- Provide details of established vendors based on existing relationships and contracts in place to the Operations teams and Corporate business unity
- Contract registry management so that approved and signed contracts are entered into the contract management system to comply with tracking requirements
- Assist Property team to coordinate site maintenances and maintain up to date register.
To be successful in this role, you will need: (in this section we cover the essential criteria and the desired criteria) - 2 - 4 years relevant experience within an administrative role.
- Advanced analytical interpretation and problem-solving skills.
- Proactive, autonomous and capable of self-starting tasks and the ability to adapt to a changing environment.
- Strong interpersonal and communication skills – professional, polite, empathetic, clear
- Sound knowledge of Microsoft Office program suite – Word, Excel, PowerPoint.
