About the role:
The Executive Support Officer serves as a support and aide to Senior Executives in overseeing the co-ordination of all meetings, planning and administrative activities. This will involve proactive and effective communication and collaboration across various departments and stakeholders. The role will also support organisation-wide strategic projects as requested and contribute to the implementation of key strategic priorities.
Role Responsibilities:
- Manage the Executives diaries and exercise judgement in acting as a filter for enquiries and requests for appointments to ensure effective utilisation of the Executive’s availability.
- Organise and manage meetings for Senior Executive to include Terms of Reference, Agendas, Minutes and other documents.
- Provide administrative support to be provided for Operations GMs as requested.
- Provide administrative support for projects as allocated to support the division or broader organisation.
- Build positive relationships with internal and external stakeholders to coordinate enquiries, ensure effective communication flow, and provide high quality advice.
- Professionally prepare documentation such as presentations and various reports.
- Coordinating events, functions and other special projects including sourcing venues and organising participant communications and registrations.
- Develop and build on relationships with other divisions for increased efficiency and responsiveness by proactively being engaged or having knowledge of activities being run by those divisions.
- Maintain the highest levels of confidentiality to protect the reputation and integrity of the organisation.
- Fleet management.
To be successful in this role, you will need: - Demonstrate exceptional organisational and time-management skills.
- Proactive, self-motivated with a strong sense of initiative and excellent written and verbal communication skills.
- Strong problem-solving abilities and attention to detail.
- Ability to work independently and as part of a team, with a high degree of professionalism and discretion.
- High level of integrity and ethical standard and experience in managing an executive support function.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
