About the role
In this role you will provide high-quality administrative and coordination support to the Head of Stakeholder and Member Engagement and the broader team.
The role supports day-to-day operations, stakeholder communications, planning and logistics for meetings and events, and ensures timely and accurate execution of engagement activities.
This role plays a key part in enabling effective stakeholder and member engagement by maintaining strong internal coordination, supporting external-facing activities, and helping ensure consistency in messaging, documentation, and processes.
What you’ll do
- Provide proactive administrative support to the Head of Stakeholder and Member Engagement, including calendar management, meeting preparation, and document coordination
- Support the Engagement team with logistics, scheduling, and coordination of meetings, forums, and events
- Assist with the drafting, formatting, and distribution of stakeholder communications and engagement materials
- Maintain and update stakeholder and Member records in CRM systems, ensuring data quality and accuracy
- Coordinate logistics for internal and external meetings, including scheduling, agenda preparation, minutes, and action tracking
- Manage inboxes and correspondence on behalf of the team, triaging inquiries and ensuring timely responses
- Prepare briefing packs, presentations, and supporting materials for stakeholder and Member meetings
- Maintain templates, style guides and records to ensure consistency in team communications
- Work closely with other teams across the organisation to ensure alignment and coordination of engagement activities
- Support the development of reports, dashboards and insights on engagement performance and stakeholder interactions
About you - Tertiary qualification in business administration, communications, public affairs, or a related field (or equivalent work experience)
- At least 2 years of experience in a coordinator, administration, or stakeholder support role
- Experience in working in a fast-paced environment supporting multiple stakeholders or executives
- Strong written communication skills and attention to detail
- Experience using CRM systems and Microsoft Office tools
